The Executive Assistant provides high-level administrative and operational support to multiple Directors within XCM, Amazon"s cross channel marketing team, partnering closely with leadership teams across creative, production, media, design, and studio organizations. This role requires strong organizational skills, high judgment, attention to detail, and the ability to manage competing priorities in a fast-paced, highly collaborative environment. A strong aptitude for leveraging AI tools and technologies to streamline workflows and drive operational efficiency is essential.

The ideal candidate operates with professionalism, discretion, and strong communication skills while helping leaders stay focused on business priorities, team execution, and maintaining a productive and connected office environment. They bring a proven track record of using AI technologies to drive personal and team efficiency, and serve as a catalyst for AI adoption - eager to explore, implement, and champion new AI-powered solutions across the organization.

Key job responsibilities

Scope & Responsibilities

  • Manage complex calendars for two/three Directors, including scheduling, prioritization, conflict resolution, and coordination across multiple time zones and stakeholder groups.
  • Coordinate domestic and international travel arrangements including flights, lodging, transportation, itineraries, and expense management.
  • Assist with planning and execution of team events, offsites, Town Halls, team meetings, and culture-building activities with EA team.
  • Help maintain team engagement, office culture, and employee experience through coordination of team experiences, celebrations, onboarding support, and organizational communications for the Seattle office.
  • Support office management responsibilities including workspace coordination, seating management, supply ordering, conference room oversight, badge/access coordination, catering logistics, and maintaining an organized and functional team environment.
  • Serve as a point of contact for workplace and facilities-related needs, helping ensure smooth day-to-day office operations for the team.
  • Manage purchase orders, budget tracking, expense reports, and operational logistics while maintaining a high bar for accuracy and frugality.
  • Serve as a key point of contact for internal and external stakeholders, ensuring timely communication and follow-through.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Support onboarding coordination for new team members within your office, including space planning, equipment coordination, and team integration support.
  • Identify opportunities to improve team processes, increase efficiency, and simplify operational workflows - proactively leveraging AI tools and automation to eliminate manual tasks and scale impact.
  • Champion AI adoption within the team by identifying use cases, piloting new AI-powered tools, sharing best practices, and helping colleagues build confidence and fluency with emerging technologies.
