The Workplace Services Associate is responsible for delivering exceptional operational support across EQT's headquarters. Serving as the primary owner of mailroom and shipping/receiving operations, this role is also cross-trained to provide receptionist coverage and support a variety of workplace and facilities functions.
Key Responsibilities:
Mail & Package Operations
- Receive, inspect, sort, and distribute incoming USPS, UPS, FedEx, DHL, courier, and internal deliveries.
- Prepare and process outgoing mail and shipments using approved shipping systems.
- Coordinate express shipments and special delivery requests.
- Research and resolve lost, delayed, or misdirected packages.
- Maintain knowledge of employee seating assignments and departmental locations to ensure timely and accurate delivery.
- Operate postage equipment, shipping software, and package tracking systems.
- Ensure all incoming and outgoing mail is processed accurately and on schedule.
- Maintain an organized, clean, and efficient mailroom operation.
- Maintain inventory of shipping supplies and mailroom consumables.
Reception & Customer Service
- Serve as backup receptionist during planned and unplanned absences, including greeting visitors, answering and directing incoming phone calls, issuing visitor badges, notifying employees of guest arrivals, and maintaining a professional front desk experience.
- Support visitor management and building security procedures in accordance with company policies.
- Respond promptly to employee inquiries regarding deliveries, shipments, and workplace services.
- Build positive working relationships with employees, vendors, delivery partners, and building management.
Workplace & Facilities Operations
- Assist with conference room readiness, meeting setup, catering coordination, and event support.
- Receive and distribute office supplies, furniture, equipment, and other workplace deliveries.
- Support office moves, furniture installations, and workplace reconfigurations.
- Coordinate deliveries and services with vendors, contractors, and building management.
- Help maintain inventories of office, breakroom, and workplace supplies.
- Support company meetings, employee events, and workplace initiatives through room setup, signage, deliveries, and logistics.
- Cross-train across Workplace & Facilities functions to provide operational coverage during vacations, absences, and periods of increased business demand.
- Perform other workplace, facilities, administrative, and operational duties as assigned.
Required Experience and Skills:
- High school diploma or GED.
- One to three years of experience in workplace services, mailroom operations, shipping and receiving, facilities, hospitality, office administration, or a related customer service environment.
- Experience with USPS, UPS, FedEx, DHL, and other shipping providers.
- Excellent customer service and interpersonal skills.
- Strong organizational, time management, and multitasking abilities.
- Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
- Ability to work independently while effectively managing multiple priorities.
- Strong attention to detail and commitment to accuracy.
