Under direct supervision, the Welcome Desk Receptionist performs a variety of administrative, clerical, and customer service duties in support of operations for the Campus Safety & Facilities Division. This position serves as the primary point of contact for visitors, students, faculty, and staff by providing front desk reception, information, and administrative support. Ensures a welcoming, professional, and secure environment while maintaining efficient office operations.

What Youll Do

  • Greet and assist visitors, students, faculty, and staff in a professional and courteous manner.
  • Answer, screen, and route incoming telephone calls; take and relay messages as appropriate.
  • Direct visitors to appropriate offices or personnel and provide general campus information.
  • Communicate effectively with students, employees, faculty, and the general public in a professional, tactful, and courteous manner.
  • Manage visitor sign-in/sign-out logs and ensure proper documentation procedures are followed through the Badgepass Visitor Management System.
  • Assist in sending emergency notifications through the RAVE and LYNX mass notification systems as authorized.
  • Assist in the monitoring of physical and electronic security systems, including the Genetec Unified Security Platform for access control and video surveillance.
  • Disseminates the weekly class and event schedule
  • Maintain organized filing systems (electronic and paper).
  • Maintain inventory of office supplies and place orders as needed.
  • Ensure front desk and reception area are clean, organized, and professional in appearance.
  • Performs all other related duties as assigned.

What We Are Looking For

Minimum Qualifications

  • High school diploma or equivalent

  • At least one (1) of administrative or customer service experience

OR equivalent combination of education and experience which provides the required skills, knowledge, and abilities may be considered

Preferred Qualifications

  • Associate degree in Business Administration, Office Administration, or related field.

Required Knowledge, Skills & Abilities

  • Knowledge of Microsoft Office Suite (Outlook, Word, Excel, Teams) and the ability to learn College software systems.
  • Knowledge of telephone etiquette and multi-line phone systems.
  • Excellent interpersonal and customer service skills with the ability to create a welcoming and professional environment.
  • Strong verbal and written communication skills.
  • Ability to maintain confidentiality when handling sensitive information.
  • Ability to serve as the Colleges primary customer service representative by greeting and directing visitors courteously and professionally.
  • Ability to communicate effectively with students, employees, faculty, vendors, and the general public from diverse backgrounds.
  • Ability to remain organized and productive while managing interruptions and multiple priorities.
  • Ability to exercise sound judgment and discretion when responding to questions or referring individuals to appropriate departments.
  • Ability to support emergency communication procedures and respond appropriately during unusual or emergency situations.

Additional Information

Work Environment: Primarily in a public-facing office environment serving as the first point of contact for students, employees, visitors, and community members. The position requires frequent interaction with individuals in person, by telephone, email, and other electronic communication methods. The work environment is fast-paced and customer-service focused, requiring the ability to manage multiple priorities, respond to routine and unexpected inquiries, and maintain professionalism while supporting a diverse campus community. The position requires regular collaboration with departments across the College and occasional participation in campus events or special activities outside of the immediate work area.

Physical Demands:

The physical demands described here are representative of those that must be met to successfully perform the essential functions of this position:

  • Primarily performs sedentary work in an office or reception setting.
  • Frequently sits for extended periods while operating a computer, telephone, and other office equipment.
  • Frequently communicates verbally and in writing with students, employees, visitors, and the public.
  • Regularly stands, walks, bends, reaches, and moves throughout the reception area to assist visitors and maintain front desk operations.
  • Occasionally lifts, carries, or moves materials weighing up to 20 pounds, including office supplies, packages, or informational materials.
  • Requires sufficient visual acuity to review documents, monitor computer screens, and accurately enter and retrieve information.
  • Requires manual dexterity to operate computers, telephones, multi-line phone systems, printers, copiers, and other standard office equipment.
  • Must be able to respond calmly and effectively during emergencies or unusual situations while following established College procedures.

Normal Working Hours: Standard schedule, Monday - Friday 7am - 4pm; some flexibility may be required based on operational needs.
