About the Role
Amber Hospitality Group operates two premier wedding and special-event venues: The Yorkmont in Charlotte, North Carolina, and The Legacy in St. Augustine, Florida. With nearly 10 years in business and approximately 2,000 successful weddings, we are known for elevated client experiences, thoughtful planning, and seamless event execution.
We are seeking a detail-driven Wedding Production Manager for our Charlotte location who thrives behind the scenes and can seamlessly transform hundreds of moving parts into one coordinated, event-ready plan. In this role, you will bridge the gap between initial planning and flawless execution—overseeing everything from inventory and labor planning to cross-functional vendor coordination.

- Reports To: Owner / Chief Executive Officer
- Location: Charlotte, NC (Onsite)
- Compensation: $68,000 – $75,000 range (DOE)
- Schedule: 8:30 AM – 5:30 PM or 9:00 AM – 6:00 PM (Primarily business hours; occasional evening or weekend support as needed)

What You’ll Do
- Wedding Production Planning: Review finalized wedding files, develop comprehensive production plans (tasks, timelines, staffing, rentals, and decor), and resolve any discrepancies before production begins. Distribute clear production packets and warehouse pull lists.
- Inventory & Warehouse Coordination: Track decor, floral supplies, furniture, linens, and equipment. Partner with warehouse personnel to ensure items are accurately pulled, loaded, inspected, and stored while supporting cycle counts and minimizing loss.
- Labor Planning: Build event-specific labor plans for floral production, setup, breakdown, banquets, bar services, and attendants based on guest counts and event complexity. Coordinate call times and manage coverage gaps.
- Department & Vendor Coordination: Serve as the central production contact for internal teams (Sales, Design, Culinary, Venue Ops) and external rental or specialty vendors. Lead production meetings and track critical deadlines.
- Event Readiness & Execution: Conduct final readiness reviews to guarantee all moving pieces align. Provide onsite support for complex weddings, respond calmly to last-minute pivots, and complete post-event reconciliations.
- Process Improvement: Continuously refine checklists, SOPs, and Amber OS workflows to standardize production practices across venues and report on operational risks to leadership.
What We’re Looking For
- Experience: 3+ years of experience in wedding production, event operations, hospitality, venue management, floral production, warehouse operations, or large-scale event logistics.
- Skills: Demonstrated ability to manage multiple complex schedules simultaneously, strong operational judgment, and meticulous organizational skills.
- Technical Savvy: Proficiency with Microsoft Office, Google Workspace, and familiarity with event/CRM platforms (e.g., HoneyBook, Tripleseat, CaterEase, Curate) or inventory management systems.
- Logistics & Travel: Reliable transportation, the ability to travel between assigned locations when required, and availability to work early mornings, evenings, weekends, and holidays based on event schedules.
- Physical Requirements: Ability to stand and walk for extended periods; regularly bend, reach, kneel, push, pull, and lift/carry up to 40 pounds.
