Are you a detail-oriented communicator who enjoys organizing complex information and bringing teams together around a deadline? Webber, an industry leader in construction and infrastructure, is seeking a Proposal Coordinator to support our Heavy Civil Estimating team and help deliver clear, compliant, and compelling qualifications and proposal packages.
Your Role: Coordinating Proposals from Start to Finish
We are seeking a collaborative Proposal Coordinator to manage the day-to-day development of statements of qualifications, requests for proposals, and other pursuit materials for heavy civil construction opportunities. Working closely with estimators, operations leaders, business development, legal, risk, and other internal partners, you will organize proposal schedules, content, reviews, and final submissions while maintaining accuracy, consistency, and Webber brand standards.
What You Will Do:
Coordinate RFQs, RFPs, prequalification packages, letters of interest, and other pursuit documents.
Review solicitation requirements and create compliance matrices, schedules, assignments, and submission checklists.
Lead proposal kickoff meetings, status updates, internal reviews, and final quality control checks.
Gather, edit, and format content from estimating, operations, and other internal partners.
Develop clear proposal narratives that highlight Webber's experience, capabilities, and approach.
Maintain reusable proposal content, including resumes, project profiles, organizational charts, forms, and certifications.
Prepare electronic and hard-copy submissions, confirm delivery, and maintain organized pursuit records.
Support interview presentations, prequalification portals, vendor registrations, and proposal tracking.
Protect confidential bid, client, employee, and company information.
Other unlisted duties will be required.
Who You Are: A Profile of Success
Bachelor's degree in marketing, communications, business, English, construction management, or a related field preferred; equivalent experience may be considered.
3+ years of proposal, qualifications, marketing, or deadline-driven document experience; construction or heavy civil experience preferred.
Strong writing, editing, proofreading, document production, and attention-to-detail skills.
Ability to interpret solicitation requirements and manage multiple contributors and deadlines.
Proficiency in Microsoft Office; experience with Adobe Acrobat and InDesign preferred.
Strong communication, organization, time management, and problem-solving skills.
Self-motivated and comfortable working independently and collaboratively in a fast-paced environment.
Flexibility to work outside normal hours and travel occasionally when proposal deadlines require it.
Ability to lift and transport materials or equipment weighing up to 20 lbs., with or without reasonable accommodation.
