    Wealth & Trust Specialist - Securities
     
    About the Role
    Extraco Banks is seeking a detail-oriented and client-focused Wealth & Trust Specialist - Securities to join our Wealth & Trust team. This position supports the administration and servicing of investment, trust, retirement, and fiduciary accounts by providing operational, administrative, and client service support to Wealth Advisors and Trust Officers. The ideal candidate will possess a strong understanding of securities operations, account administration, and client service while maintaining accuracy, compliance, and operational efficiency. This role plays a critical part in supporting investment management and trust administration activities while helping deliver an exceptional client experience.
     
    What You'll Do
     
    Securities Operations & Account Administration
    • Process incoming receipts, investment income, and cash transactions for trust and investment accounts.
    • Process daily trading activities and maintain supporting documentation.
    • Assist with the processing, settlement, and documentation of securities transactions and asset transfers.
    • Reconcile custodian accounts and assist with identifying and resolving account discrepancies.
    • Reconcile and maintain vault assets.
    • Maintain accurate records related to account activity, securities holdings, and client transactions.
    • Support account openings, account maintenance requests, beneficiary updates, distributions, and account closures.
    • Maintain and support the Maui allocation system.
    • Assist with trust asset management, account reviews, and ongoing account administration activities.
     
    Client Service & Relationship Support
    • Provide professional and responsive service to Wealth & Trust clients.
    • Serve as a point of contact for routine account servicing requests and inquiries.
    • Assist Wealth Advisors and Trust Officers with preparing client reports, meeting materials, and account documentation.
    • Coordinate client documentation and follow up on outstanding account requirements.
    • Support efforts to deepen client relationships through exceptional service and timely communication.
     
    Documentation & Compliance
    • Maintain complete and accurate client files, documentation, and electronic records.
    • Support regulatory, audit, and compliance reviews by gathering and maintaining required documentation.
    • Ensure activities comply with bank policies, trust administration requirements, securities regulations, and fiduciary standards.
    • Assist with scanning, indexing, and retention of trust and wealth management records.
    • Remain current on regulatory requirements, operational procedures, and industry best practices.
     
    Team Collaboration & Support
    • Assist Wealth & Trust Advisors and Associates with account maintenance and operational support.
    • Perform dual-control functions related to disbursements and asset processing.
    • Participate in departmental cross-training initiatives to support business continuity.
    • Collaborate with Operations, Retail Banking, Compliance, and other departments to ensure smooth account servicing.
    • Participate in training programs and professional development opportunities.
     
    Operational Excellence
    • Ensure timely and accurate completion of daily operational activities.
    • Maintain service standards and departmental deadlines.
    • Identify operational risks and escalate concerns appropriately.
    • Support process improvement initiatives that enhance efficiency and client service.
    • Contribute to the overall success and growth of the Wealth & Trust Department.
     
    What We're Looking For
     
    Required Qualifications
    • High School Diploma or GED required.
    • Minimum of three years of banking, trust administration, wealth management, securities operations, or financial services experience.
    • Basic knowledge of trust administration, investment accounts, and securities processing.
    • Ability to maintain confidentiality and handle sensitive financial information.
    Preferred Qualifications
    • Associate's or Bachelor's degree in Finance, Accounting, Business Administration, Economics, or a related field preferred.
    • Background in Finance, Accounting, or Law preferred.
    • Previous experience supporting trust, fiduciary, or wealth management accounts.
    • Experience working with trust accounting or portfolio management systems, including Maui or similar platforms.
    • Securities industry licensing or willingness to obtain applicable licensing preferred.

    Work Environment & Physical Requirements
    • Work is performed primarily in a professional office environment with moderate noise levels.
    • The role requires the ability to remain in a stationary position (sitting or standing) for extended periods.
    • Frequent operation of standard office equipment, including computers, telephones, and copiers.
    • Ability to move about the office to meet with employees, clients, and visitors.
    • Occasional local and regional travel for meetings, training, and business-related functions.
    • Visual acuity required for reviewing financial documents, account information, and digital records.
    • Occasional lifting and carrying of files, office materials, or equipment up to 15 pounds.
