The Warehouse, Shipping & Receiving Coordinator is responsible for managing day-to-day warehouse, shipping, receiving, and inventory activities in a manufacturing environment. This role ensures raw materials, equipment, supplies, molds, and finished goods are received, stored, moved, documented, and shipped accurately and efficiently.
The Coordinator will maintain inventory accuracy, coordinate inbound and outbound shipments, prepare shipping and receiving documentation, and ensure materials are available to support production. This position works closely with Production, Accounting & Finance, suppliers, carriers, customers, and other internal teams.
The ideal candidate is organized, detail-oriented, safety-conscious, and comfortable balancing hands-on warehouse responsibilities with computer-based inventory and shipping activities. Experience with ERP/WMS systems and manufacturing or industrial environments is strongly preferred.
Coordinate daily warehouse activities, including material movement, storage, picking, packing, staging, and organization.
Maintain an efficient warehouse layout that supports workflow, space utilization, safety, and inventory accuracy.
Pick, pack, label, and stage materials and finished goods for shipment.
Move raw materials, supplies, work-in-process, and finished goods to support production requirements.
Ensure materials are stored in designated locations and properly identified and labeled.
Conduct cycle counts, physical inventories, and inventory reconciliations.
Maintain a clean, organized, and safe warehouse and loading dock.
Operate forklifts and other material-handling equipment as authorized and trained.
Monitor inventory levels and communicate shortages, excess or obsolete materials, and discrepancies to the appropriate teams.
Maintain accurate inventory quantities and item locations within the ERP system.
Ensure raw materials, work-in-process, finished goods, and quality-hold materials are properly identified, labeled, stored, and managed according to company procedures.
Enter and maintain accurate inventory transactions in a timely manner.
Partner with Accounting & Finance to reconcile inventory transactions and resolve discrepancies.
Investigate inventory variances and assist with corrective actions.
Support accurate inventory records for production planning and operational needs.
Coordinate inbound and outbound shipments, including carrier scheduling, pickup coordination, and shipment preparation.
Prepare and verify Bills of Lading (BOLs), Certificates of Analysis (COAs), packing lists, shipping labels, and other required documentation.
Coordinate shipments involving:
Equipment received from Europe
Equipment and materials distributed throughout the U.S. and Canada
Plastic raw materials
Plastic molds
Packaging materials
Finished goods
Receive incoming materials and verify quantities, condition, and documentation against purchase orders and delivery paperwork.
Enter receiving and shipping transactions accurately into the ERP system.
Identify and communicate shipment discrepancies, damages, shortages, or other issues to Accounting & Finance and the appropriate internal teams.
Coordinate with carriers, suppliers, customers, and internal departments to ensure shipments are accurate and delivered on schedule.
Ensure outbound shipments are properly packaged, labeled, documented, and staged for pickup.
Follow all warehouse, material-handling, and facility safety procedures.
Follow forklift operation requirements, PPE requirements, and safe lifting practices.
Maintain compliance with company policies, customer requirements, and applicable regulatory standards, including OSHA, GMP, and food-safety requirements, where applicable.
Report safety hazards, incidents, damaged equipment, and unsafe conditions promptly.
Maintain a safe, clean, and organized warehouse and loading area.
Support safe handling and storage of materials in accordance with company procedures.
2+ years of experience in warehouse, logistics, shipping, receiving, inventory control, or a related field.
Manufacturing, plastics, food processing, distribution, or industrial environment experience preferred.
Experience with ERP, WMS, or inventory management systems strongly preferred.
Experience with Microsoft Dynamics GP/Great Plains is a plus.
Strong attention to detail and commitment to inventory and shipping accuracy.
Ability to prioritize and manage multiple responsibilities in a fast-paced environment.
Strong organizational and time-management skills.
Effective written and verbal communication skills.
Ability to work collaboratively with Production, Accounting & Finance, suppliers, carriers, customers, and internal teams.
Basic proficiency with Microsoft Office, including Excel.
Familiarity with shipping platforms, carrier portals, and freight documentation preferred.
Forklift certification or ability to obtain certification.
High School Diploma or GED.
2+ years of relevant warehouse, logistics, shipping, receiving, or inventory experience.
Bachelor's degree in any discipline.
Experience working in a manufacturing or production environment.
Experience using ERP/WMS or inventory management systems.
Experience coordinating domestic and international shipments.
Experience handling raw materials, molds, equipment, packaging materials, or finished goods.
Experience working with shipping documentation and freight carriers.
Ability to regularly lift and move materials weighing up to 70 pounds.
Ability to occasionally lift or move items weighing up to 150 pounds with appropriate assistance or material-handling equipment.
Ability to stand, walk, bend, reach, push, pull, and perform repetitive physical tasks for extended periods.
Ability to work in varying indoor and outdoor temperatures.
Ability to operate or work safely around forklifts and other material-handling equipment.
Ability to access various departments and areas of the facility.
Ability to spend extended periods sitting at a computer performing inventory, shipping, receiving, and administrative tasks.
Work environment may include noise, moving equipment, varying temperatures, and typical warehouse/manufacturing conditions.
May require occasional overtime, weekend, or holiday work based on production and shipping schedules.
This position works primarily in a warehouse and manufacturing/production environment, combining hands-on material handling with computer-based inventory, shipping, receiving, and administrative responsibilities.
The role regularly interacts with Production, Accounting & Finance, suppliers, carriers, customers, and other internal departments. The Coordinator must be comfortable working in an active manufacturing environment while maintaining a strong focus on safety, organization, and accuracy.
