The Warehouse Coordinator supports customers throughout the quoting, order, and fulfillment process while providing hands-on warehouse and inventory support. This position requires strong organization, attention to detail, accuracy, and follow-through. The employee prepares customer quotes, responds to product and order inquiries, processes and tracks orders, communicates product availability and delivery status, and works closely with sales, purchasing, and warehouse personnel to meet customer needs. The role also assists with receiving, shipping, inventory control, stocking, and order fulfillment as needed. Strong communication, dependability, and the ability to prioritize multiple tasks are important to success in the position. Forklift operation is an occasional support responsibility and is not the primary focus of the role.
Responsibilities & Duties
• Monitor inventory levels and prepare purchase orders for replenishment and customer needs.
• Maintain accurate inventory records, product locations, and quantities.
• Perform inventory checks, cycle counts, receiving, and discrepancy resolution.
• Prepare accurate customer quotes using approved pricing, freight, and delivery information.
• Research product availability, pricing, lead times, and alternatives.
• Process customer sales orders, verifying products, quantities, pricing, and delivery requirements.
• Process purchase orders and follow up with vendors on pricing, availability, and delivery.
• Track open quotes, sales orders, and purchase orders and communicate status updates.
• Provide customers with product availability, order status, back order, and delivery information.
• Provide invoice support, including reviewing invoices and matching them to purchase orders and receiving records.
• Provide light administrative support, including data entry, filing, spreadsheets, and documentation.
• Assist with light stocking, receiving, picking, packing, and order staging.
• Maintain organized and properly labeled inventory areas.
• Coordinate with sales, purchasing, warehouse personnel, vendors, and customers to resolve routine issues.
• Operate material-handling equipment occasionally after required training and authorization.
• Perform other related duties as assigned.
Requirements
• High school diploma or GED required.
• Two years of related experience in inventory, purchasing, quoting, customer service, order processing, or distribution preferred.
• Experience with inventory ordering, quoting, sales orders, and purchase orders is strongly preferred.
• Experience with invoice support and inventory control preferred.
• Proficiency with ERP, inventory, quoting, or order-processing systems.
• Strong computer, data-entry, organizational, and communication skills.
• Strong attention to detail and follow-through.
• Ability to manage multiple priorities and work independently.
• Ability to lift and move materials as required.
• Forklift experience is preferred but not required; training will be provided.
Knowledge, Skill, & Abilities
• Knowledge of inventory ordering and inventory control practices.
• Ability to prepare accurate quotes and process sales and purchase orders.
• Ability to research products, pricing, availability, and lead times.
• Ability to maintain accurate inventory, customer, order, and purchasing records.

Working Conditions and Physical Requirements
• Combination of office-based and light warehouse work.
• Ability to stand, walk, bend, reach, push, and pull as needed.
• Ability to lift and carry up to 50 pounds independently.
• May work around warehouse noise, dust, industrial materials, and changing temperatures.
• Ability to perform light stocking, receiving, and order fulfillment activities.
• Ability to wear required PPE.
• Occasional operation of forklifts or other material-handling equipment after required training and authorization.
• May work overtime or adjusted schedules as operationally necessary.
