Pay: $21.00 / Hourly
Capstone is looking for a dependable, organized Warehouse Administrative & Recruiting Coordinator to support the day-to-day administrative and recruiting needs of a busy grocery distribution operation.
This position is highly visible within the facility and works closely with site leadership, associates, candidates, and Capstone’s recruiting and corporate teams. The right person will be comfortable working with numbers, spreadsheets, schedules, and deadlines while also being able to communicate with a wide range of people throughout the day.
What You'll Do
Site Administration & Reporting
- Maintain accurate daily records and site documentation.
- Prepare and distribute daily and weekly reports for Capstone and our business partner.
- Track staffing, attendance, productivity, and other operational information using Excel and internal systems.
- Maintain organized spreadsheets and ensure information is updated accurately and on time.
- Assist with payroll preparation, including reviewing time and attendance information and identifying discrepancies for follow-up.
- Complete routine data entry and administrative tasks while protecting confidential employee information.
- Provide administrative support to site leadership and assist with special projects as needed.
Recruiting & Hiring Support
- Manage the site's ongoing interview and recruiting schedule based on operational staffing needs.
- Coordinate interviews, hiring events, orientation sessions, and other recruiting activities.
- Communicate with candidates regarding interview times, locations, next steps, and required hiring documentation.
- Help maintain an active candidate pipeline and follow up with candidates throughout the hiring process.
- Partner with recruiting leadership and site management to identify staffing needs and adjust recruiting activity accordingly.
- Assist with candidate check-in, paperwork, onboarding activities, and other on-site hiring support.
- Help keep recruiting information and candidate records current and organized.
Day-to-Day Site Support
- Serve as a reliable administrative point of contact for the Capstone team at the facility.
- Work between the office and warehouse as needed to gather information and support operations.
- Communicate professionally with associates, managers, candidates, and business partners.
- Help maintain an organized and professional office environment.
- Take on additional responsibilities as business needs change.
What We're Looking For
- High school diploma or equivalent.
- Previous administrative, office, recruiting, staffing, or warehouse support experience is helpful.
- Strong working knowledge of Microsoft Excel, Word, and Outlook.
- Comfortable working with spreadsheets, reports, data entry, and numbers.
- Strong attention to detail and accuracy.
- Excellent organization and time-management skills.
- Able to manage multiple priorities in a fast-moving environment.
- Comfortable working independently while knowing when to ask questions or escalate an issue.
- Professional and confident communication skills.
- Ability to work effectively with employees, candidates, managers, and business partners.
- Comfortable adjusting priorities when staffing or operational needs change.
- Ability to maintain confidentiality when handling employee and payroll information.

You keep the site organized, the reports accurate, and recruiting activity moving.
You'll know you're successful when leadership has the information they need, payroll is prepared accurately, interviews and hiring events are scheduled ahead of staffing needs, candidates receive timely communication, and the administrative side of the operation runs smoothly.
This is a hands-on role for someone who enjoys staying busy, solving problems, keeping information organized, and being an important part of a warehouse team.
