Formerly part of Greater Austin Merchants Cooperative Association (GAMA), the organization has a long-standing history of supporting independent businesses and convenience retailers with the products, services, and resources they need to operate successfully.
GAMA was established in October 1999 as a member-owned cooperative focused on providing value, purchasing power, and operational support to convenience retailers. Over the years, the organization has grown to include distribution, retail, and business services designed to support the evolving needs of its members and customers.

We are looking to find:An Administrative Assistant with Customer Service experience who is passionate about delivering exceptional service and creating positive experiences for our members, customers, vendors, and internal teams.

You will make a HUGE impact by:- Reviewing daily load and delivery reports to identify missed, incomplete, or incorrectly delivered orders.
- Collecting and organizing delivery information for leadership review.
- Helping identify patterns and recurring issues that may impact the member experience.
- Contacting members to better understand what happened with their delivery and documenting their feedback.
- Communicating delivery concerns and findings to the appropriate members of leadership.
- Maintaining accurate records, reports, and documentation.
- Supporting warehouse and delivery operations through timely administrative follow-up.
- Providing professional and courteous service to members, drivers, vendors, and internal team members.
- Helping ensure delivery issues are properly documented, communicated, and followed through to resolution.
- Supporting the overall efficiency of the warehouse through organization, communication, and accountability.

Position Responsibilities:- Review daily load and delivery reports for accuracy and completeness.
- Identify missed, incomplete, delayed, or incorrectly delivered orders.
- Compile delivery discrepancies and provide organized reports to leadership for review.
- Research delivery issues by gathering information from drivers, warehouse personnel, and other internal resources.
- Contact members regarding delivery issues to understand what occurred and gather feedback about their experience.
- Document member conversations, delivery issues, findings, and follow-up actions accurately.
- Monitor open delivery issues and follow up as needed.
- Communicate relevant findings and trends to leadership.
- Enter and maintain accurate information in spreadsheets, internal systems, and company records.
- Prepare and distribute routine emails, reports, and administrative communications.
- Assist with filing, scanning, documentation, data entry, and general administrative duties.
- Maintain organized records related to deliveries, member contacts, and operational issues.
- Maintain confidentiality of member, employee, and company information.
- Provide professional and courteous communication with members, drivers, vendors, and internal team members.
- Perform all duties in accordance with company policies, procedures, and service standards.
- Perform other duties as assigned to support warehouse and delivery operations.

Experience:- High School Diploma or equivalent preferred.
- Previous administrative, customer service, office support, data entry, warehouse, logistics, retail, or related experience preferred.
- Experience working with spreadsheets, reports, or business software is a plus.
- Experience in a distribution, convenience store, retail, logistics, or member-service environment is a plus.
Physical Requirements / Working Conditions:- Primarily administrative work performed in a warehouse environment.
- Must be able to remain seated and work at a computer for extended periods.
- Frequent use of computers, telephones, and standard office equipment.
- May require occasional standing, walking, bending, reaching, and moving throughout the warehouse.
- Ability to communicate effectively in person, by phone, and through electronic communications.
- Ability to work approximately four hours per day according to an agreed-upon schedule.
- Schedule flexibility is available as long as the position's required daily coverage is maintained.
