About the Opportunity:

Washington County Public Health Division within the Department of Health and Human Services (HHS) is recruiting for a Limited Duration Senior Administrative Specialist to join the Vital Records team within the Environmental Health Branch.

This position is a limited duration with a tentative end date of 6/30/2027.

The Vital Records Senior Administrative Specialist will be the lead expert for certified records of births and deaths that occur in Washington County after the original record has been registered and filed to the state. This position must become a Deputy Registrar within 30 days of the employment to be able to access state birth and death records. They will also provide direct supervision over assigned administrative support staff and provide back-up coverage for the Environmental Health Senior Administrative Specialist, who is the lead expert for licenses related to restaurants, food carts and other food service facilities, swimming pools and spas in addition to the lead expert for septic system permits and provides direct supervision over assigned administrative support staff.

Work Schedule: In-person. Due to the nature of duties, this position is not eligible for remote work.

Ideal Knowledge, Skills, and Abilities (KSAs): Possession of bilingual skills is preferred but not required.

Knowledge of:

  • Principles and procedures of financial recordkeeping and reporting.

  • Basic mathematical principles.

  • Principles of supervision and training.

  • Pertinent federal, state, and local laws, codes, and regulations.

Skills to:

  • Coach and mentor staff.

  • Communicate effectively and interact patiently with internal staff, external partners, and individuals making inquiries regarding various County programs and services who have little or no experience or knowledge of the services provided.

  • Provide timely, effective, and efficient customer service to the general public, clients, and other employees.

Ability to:

  • Prepare complete and accurate reports.

  • Operate a variety of office equipment including computers, county databases and state electronic systems.

  • Work independently in the absence of supervision.

  • Interpret and apply applicable federal, state, and local laws, rules and regulations, and policies.

  • Effectively administer a variety of duties with competing priorities.

Minimum and Special Qualifications

Education and Experience:

  • A high school diploma or equivalent; AND four (4) years of progressively responsible experience providing administrative or clerical support.

Special Qualifications:
