Position Summary
The Executive Assistant will provide comprehensive administrative and operational support to executive leadership. This role requires exceptional calendar management, communication, problem-solving, project coordination, and organizational skills. The ideal candidate will be experienced in supporting C-suite or senior-level executives in healthcare, hospital systems, corporate, or administrative environments.
The Executive Assistant will serve as a key liaison between executives, internal departments, healthcare professionals, vendors, and external stakeholders while ensuring seamless day-to-day operations.
Key Responsibilities
- Manage complex executive calendars, appointments, meetings, and travel arrangements.
- Coordinate virtual meetings, conference calls, presentations, and executive events.
- Prepare reports, presentations, spreadsheets, agendas, meeting minutes, and executive correspondence.
- Screen and prioritize emails, phone calls, and requests with professionalism and discretion.
- Support executive leadership with project coordination, operational tasks, and deadline management.
- Maintain confidential records, documents, and sensitive information in compliance with organizational policies.
- Collaborate cross-functionally with departments including Human Resources, Finance, Operations, Clinical Leadership, and Administration.
- Track action items, follow-ups, and deliverables to ensure timely completion.
- Assist with budgeting, expense reports, invoice processing, and procurement coordination.
- Organize digital filing systems and maintain accurate administrative documentation.
- Support workflow improvements and administrative process optimization.
- Handle multiple priorities simultaneously in a fast-paced remote work environment.
- Provide exceptional customer service to internal and external stakeholders.
- Perform additional administrative duties and special projects as assigned.
Required Qualifications
- Bachelor’s degree in Business Administration, Healthcare Administration, Communications, or related field preferred.
- Minimum 3–5 years of experience as an Executive Assistant, Administrative Assistant, Senior Administrative Coordinator, or related role.
- Experience supporting senior leadership, executives, directors, or C-suite professionals preferred.
- Strong proficiency in Microsoft Office Suite including Outlook, Word, Excel, PowerPoint, and Teams.
- Experience using Zoom, Google Workspace, scheduling platforms, and project management tools.
- Excellent verbal and written communication skills.
- Strong organizational, multitasking, and time-management abilities.
- Ability to maintain confidentiality and exercise sound judgment.
- Self-motivated with the ability to work independently in a remote environment.
- Strong attention to detail and problem-solving skills.
- Reliable high-speed internet connection and dedicated remote workspace.
Preferred Qualifications
- Healthcare, hospital, medical office, or healthcare administration experience.
- Experience supporting executive leadership in a remote or hybrid environment.
- Familiarity with healthcare compliance standards and administrative procedures.
- Experience with electronic records systems, reporting tools, or enterprise software platforms.
