    Program Overview and Purpose

    The Virtual Academy Coordinator serves as the operational, administrative, and instructional leader for the district's non-traditional and virtual learning pathways. This role ensures that students enrolled in virtual learning receive a rigorous, supportive, and compliant educational experience.

    By actively monitoring daily engagement, executing targeted academic interventions through Multi-Tiered System of Supports (MTSS), fostering strong home-school partnerships, and ensuring adherence to Indiana Department of Education (IDOE) standards, the Virtual School Coordinator creates an environment where s virtual learners can thrive academically and graduate on time.

    Key Responsibilities and Essential Functions

    Attendance Monitoring & Student Engagement Tracking

    • Establish and maintain daily audit protocols to monitor student login frequency, course login durations, task submissions, and module completion velocity across all district virtual platforms.
    • Implement an Early Warning System (EWS) to identify patterns of disengagement, chronic absenteeism, or academic stalling within 48 hours of onset.
    • Conduct direct daily and weekly outreach to non-responsive or disengaged students via phone, email, virtual conferences, or home visits in collaboration with attendance officers.
    • Formulate and enforce formal attendance contracts and engagement agreements for students falling below district or state participation benchmarks.
    • Maintain precise, audit-ready daily records of student participation and instructional contact hours in compliance with Indiana virtual attendance laws.

    Academic Interventions & MTSS Facilitation

    • Design, implement, and lead the virtual Multi-Tiered System of Supports (MTSS) framework across academic, behavioral, and attendance domains.
    • Analyze individual and cohort performance data weekly to identify students requiring Tier 2 and Tier 3 academic interventions.
    • Coordinate targeted academic recovery plans, small-group virtual tutoring sessions, and targeted skill remediation with core subject-area virtual teachers.
    • Partner with Special Education staff, EL staff, and Section 504 case managers to guarantee that all legal accommodations and modifications are provided in the virtual setting.
    • Conduct weekly individual academic progress conferences with at-risk students to review pacing guides, set goals, and clear academic roadblocks.

    Operational Management & Program Oversight

    • Direct the day-to-day operations of the virtual learning programs, serving as the central administrative contact for staff, students, and families.
    • Oversee the onboarding, orientation, and digital literacy training process for all incoming virtual students and their parents/guardians.
    • Manage course catalog assignments, drop/add processing, credit recovery tracking, and alignment with Indiana Graduation Pathways and diploma requirements.
    • Partner with the district technology department to manage device deployment, digital curriculum platform access, software troubleshooting, and home connectivity support.
    • Regularly evaluate virtual curriculum efficacy and alignment with Indiana Academic Standards, making recommendations for program enhancements to district leadership.
    • Serve as the liaison between MCS and Edmentum

    Communication, Expectations, & Stakeholder Engagement

    • Serve as the primary, high-touch liaison between virtual students, families, school counselors, building administrators, and community partners.
    • Conduct comprehensive family orientations prior to term start, clearly articulating virtual learning expectations, academic integrity policies, attendance rules, and grading procedures.
    • Maintain transparent, proactive, and structured communication with parents/guardians through regular progress updates, newsletter communications, and parent-teacher conferences.
    • Build meaningful, trust-based relationships with virtual students to cultivate a strong sense of school community, belonging, and personal accountability in a remote space.
    • Connect students and families with community resources, mental health services, and wraparound supports as needed.

    Governance & State Educational Compliance

    • Ensure full program compliance with all Indiana Department of Education (IDOE) virtual learning requirements, reporting deadlines, and administrative rules.
    • Compile, analyze, and present comprehensive monthly reports on virtual school performance metrics including attendance, course completion rates, passing rates, and MTSS intervention efficacy.
    • Prepare and maintain documentation required for internal, district, and state compliance audits.
    • Adhere strictly to FERPA guidelines and district confidentiality protocols concerning student records and data privacy.

    Professional Qualifications and Requirements

    Required Education and Certification

    • Degree: Bachelor's Degree in Education, Educational Leadership, or a closely related field from an accredited college or university (Master's Degree preferred).
    • Licensure: Valid Indiana Educator License or Indiana School Administrator License.

    Required Knowledge and Experience

    • Minimum of three (3) years of successful secondary teaching or administrative experience.
    • Demonstrated expertise working within Learning Management Systems (e.g., Canvas, Edgenuity, Google Classroom) and Student Information Systems (e.g., PowerSchool).
    • In-depth understanding of secondary curriculum, Indiana Academic Standards, and Indiana Graduation Pathways requirements.
    • Strong background in implementing MTSS, Response to Intervention (RTI), and positive behavior support frameworks in secondary education settings.

    Working Conditions and Physical Demands

    • Work Environment: Primary workplace is situated on-site at Madison Consolidated High School / Junior High facilities, with daily interaction in virtual environments.
    • Work Schedule: Standard school business hours, with occasional evening availability required for parent orientations, board updates, or urgent family outreach.
    • Physical Demands: Prolonged periods of computer use, data analysis, and virtual meeting participation; light lifting of technology equipment as necessary.
