    Patient Services Associate

    Pay Rate : $ 22.85/hr. On W2 without benefits


    Location: Durham, NC 27710 Clinic 1F


    Work Arrangement: Onsite / Local


    Schedule: Monday Friday, 8:00 AM 4:30 PM


    Contract Duration: 13 Week with Possible extension

    Position Overview

    The Patient Services Associate (PSA) is an essential member of the patient care team, responsible for delivering a positive and seamless patient experience throughout the clinic visit. This role manages patient registration, check-in and check-out, appointment scheduling, insurance verification, payment collection, referral coordination, work queue management, and patient communication while maintaining compliance with organizational, regulatory, and HIPAA standards.

    Required Qualifications

    Education

    • High School Diploma or equivalent required.

    • College education is preferred.

    Experience & Skills

    • Minimum of 2 3 years of relevant experience.

    • At least six months of data entry experience.

    • Strong verbal and written communication skills.

    • Basic computer and PC proficiency.

    • Knowledge of medical terminology.

    • Strong understanding of professional telephone etiquette.

    • Excellent organizational and prioritization skills.

    • Ability to communicate instructions clearly, both verbally and in writing.

    • Ability to interact professionally, tactfully, and courteously with patients and the public.

    • Knowledge of procedures related to patient information verification, payment collection, records management, and documentation.

    Key Responsibilities

    Patient Registration & Check-In/Check-Out

    • Verify patient identity using approved identification and patient identifiers.

    • Collect, verify, and update demographic, contact, guarantor, and insurance information.

    • Perform insurance eligibility verification and resolve registration or coverage discrepancies.

    • Document patient special needs, including interpreter requirements, mobility concerns, and other accommodations.

    • Ensure all required financial, compliance, and authorization documents are completed and properly documented.

    • Collect and accurately process copays, deductibles, coinsurance, and outstanding balances.

    • Educate patients regarding financial assistance, billing processes, insurance responsibilities, and payment options.

    • Support MyChart enrollment and provide appropriate patient education.

    • Manage patient check-in and check-out processes, including follow-up scheduling and After Visit Summary review.

    • Maintain patient confidentiality and ensure compliance with HIPAA regulations.

    • Balance daily cash, check, and credit card transactions in accordance with established cash management policies.

    Scheduling & Referral Coordination

    • Schedule new, follow-up, laboratory, and study appointments according to established guidelines.

    • Coordinate referrals, orders, and appointment requirements.

    • Ensure patients receive appropriate pre-visit instructions, appointment details, and financial responsibility information.

    • Link referrals and orders to the appropriate appointments and encounters.

    • Monitor scheduling quality to support patient satisfaction, reimbursement, and operational efficiency.

    Work Queue Management

    • Prioritize and complete assigned registration, referral, order, and claim-edit work queues.

    • Monitor outstanding referrals and orders to ensure timely scheduling and follow-up.

    • Resolve registration and billing-related edits within established technical and professional work queues.

    • Maintain accuracy and efficiency while meeting departmental performance expectations.

    Patient Engagement & Customer Service

    • Deliver exceptional customer service while maintaining professionalism, compassion, and responsiveness.

    • Communicate wait times and manage patient expectations effectively.

    • Address patient concerns and escalate issues to appropriate leadership when necessary.

    • Answer incoming calls, identify caller needs, and direct calls to the appropriate department.

    • Provide directions and coordinate transportation or interpreter services when needed.

    • Support a positive, respectful, and collaborative clinic environment.

    Compliance & Administrative Responsibilities

    • Follow all organizational policies, regulatory requirements, and Joint Commission guidelines.

    • Maintain accurate documentation and follow established scanning and medical record procedures.

    • Participate in staff meetings, required training, education sessions, and process improvement initiatives.

    • Maintain a safe and organized work environment for patients, visitors, and staff.

    • Support technology implementation and downtime procedures when necessary.

    • Demonstrate accountability, professionalism, teamwork, and adherence to organizational values.

    • Perform additional duties as assigned by clinic leadership.
