Job Summary A member of the Nursing Department, who, under the direct supervision and with consultation of a professional licensed nurse, perform a variety of support services in order to provide assistance to the professional nursing staff to optimize patient care.

PHYSICAL REQUIREMENTS (With or without the aid of mechanical devices) • Must be able to move intermittently throughout the work day • Must be able to speak and write the English language in an understandable manner • Must be able to cope with the mental and emotional stress of positions • Must possess sight/hearing senses or use prosthetics that will enable these to function adequately so that the requirements of this position can be fully met • Must function independently, have flexibility, personal integrity and the ability to work effectively with the CEO, physicians, department managers and the general public • Must be in good general health and demonstrate emotional stability • Must be able to relate to and work with ill, disabled, elderly, emotionally upset and, at times, hostile people within the facility • Must be able to assist in the evacuation of patients

WORKING CONDITIONS • Sits, stands, bends, lifts and moves intermittently during working hours • Is subject to frequent interruptions • Is involved with patients, residents, staff, government agencies/personnel, etc. under all conditions and circumstances • Is subject to hostile and emotionally upset patients, family members, etc. • Communicates with the medical staff and other hospital departments staff • Attends and participates in continuing training programs as they relate to the position • May be exposed to infectious waste and diseases • Is subject to lifting, carrying and supporting patients • Must be constantly alert for patient safety

Unit Coordinator - Surgical Services: Works in Operating Room and CSR areas as well as throughout the facility

Unit Coordinator - Surgical Services: DELEGATION OF AUTHORITY Directly reports to the OR Clinical Coordinator or the Chief Nurse Executive or designee.

Essential Functions

  • Acute: • Prepares charts for new patients on Acute Care, to include I&O sheets on evenings and maintaining appropriate level of forms in patient records. • Maintains adequate level of chart packs. • Knowledge of the locations of charts when on and off unit. • Filing lab and x-ray reports, recording information on flow sheets, thins charts and filing overflow. • Prepares charts when patients have been discharged and forward them to the Medical Records Department. • Maintains lists of patients on hold for lab or x-ray or pre-op. • Begins appropriate referral forms by entering available clerical data when warranted. • Photocopies patient's records when they are transferred to another health facility. • Obtains old records from Medical Records for Acute Care (ICU and OBS if asked to do so) whenever necessary. • Completes daily dietary sheet and makes the changes when appropriate and notifies the Dietary Department. • Performs other necessary clerical duties or errands. • Receives incoming and outgoing telephone calls and forwards messages and information accurately to the appropriate parties. • May provide assistance and direction when indicated to visitors. • Picks up and distributes patient mail for the unit. • Provides coverage of hospital phones by accepting transfer from the switchboard for time when the switchboard is closed. • Shall be familiar with CODE 4 and Fire and Disaster plans in order to act in accordance both for the unit and/or while covering the hospital switchboard. • Maintain positive atmosphere and communication with all departments. • Transcribes doctor's orders to Kardex, requisitions and communicates with the appropriate departments. • STAT orders are brought to the attention of the charge nurse immediately. • No verbal orders are taken by the Unit Secretary. • Assist with patient transport arrangements with Social Service Department or Nursing Supervisor. • Maintains the bulletin boards, blackboards, charting areas, and storage and conference areas and keep halls clean of such items as wheelchairs and stretchers. • Orders supplies as necessary to meet the unit's needs, including paper/form supplies. • May deliver specimens, equipment and requisitions to appropriate department. • Arranges for patients personal valuables to be sent home or locked up in the Business Office. • Explains and enforce visiting policies for families and friends of patients; direct visitors to waiting areas as appropriate. • Informs nursing staff to schedule time for x-ray, lab, or operative procedure. • Maintains confidentiality within the hospital and in the community.

MAINTENANCE OF PATIENT RECORD AND UNIT SYSTEMS

  1. Prepares Emergency Room charts for admission to the hospital.
  2. Maintains adequate level of evacuation/CVA/MI admission packs.
  3. Has knowledge of the locations of patients when on and off the unit.
  4. Filing out lab and x-ray requisitions.
  5. Maintains log book on unit, forwarding charts for coding as soon as possible.
  6. When necessary, assist the ER receptionist with obtaining admitting information.
  7. Does registration of patients when receptionist is not on.
  8. Photocopies patients records when transferred to health facility off the island.
  9. Performs other necessary clerical duties or errands.

TELEPHONE/VISITOR RECEPTION AND COMMUNICATION

  1. Receives incoming and outgoing telephone calls and forwards messages and information accurately to the appropriate parties after evaluating priority of call.
  2. May provide assistance and direction when indicated to visitors.
  3. Forward calls regarding medical information to voicemail or appropriate person.
  4. Coordinates calls to other facilities when needed; arranging for information exchange and appointments.
  5. Familiar with CODE BLUE, fire and disaster plans, trauma response team.
  6. Maintains positive atmosphere and communication with all departments.
  7. May answer C-Med radio obtaining information and relaying to licensed staff as needed.

TRANSCRIPTION

  1. Transcribes doctors' orders, requisitions and communicates with the appropriate departments.
  2. STAT orders are brought to the attention of the Charge Nurse immediately. No verbal orders are taken by the Unit Coordinator.

MAINTENANCE OF PATIENT RECORDS AND UNIT SYSTEMS

  1. Prepares charts for all patients.
  2. Stamps and prepares pathology paper work.
  3. Maintains adequate supply of pathology packs.
  4. Filing lab and x-ray reports.
  5. Photocopies as directed by Clinical Coordinator.
  6. Obtains old records from Medical Records for next day surgery.
  7. Performs other necessary clerical duties or errands.
  8. Prepares charts when patients have been discharged and forward them to the Medical Records Department when needed.

TELEPHONE/VISITOR RECEPTION AND COMMUNICATION

  1. Receives incoming and outgoing telephone calls and forwards messages and information accurately to the appropriate parties.
  2. May provide assistance and direction when indicated to family members.
  3. Shall be familiar with Code 4 and Fire and Disaster plans in order to act in accordance both for the OR and CSR.
  4. Maintains positive atmosphere and communication with all departments.

SCHEDULES

  1. Takes bookings for cases and documents information in schedule book.
  2. Transcribes approved bookings and performs other related duties.
  3. Enter information into OR log book.
  4. Assist with patient charges.
  5. Prepare and distribute next day schedule sheets.
  6. Maintains any log or study as needed.
  7. Ensures appropriate pre-op Lab work, H&P, EKG, and x-rays are in chart 48 hours pre-op or notifies Clinical Coordinator.
  8. Does data entry on computer entering OR time schedules.
  9. Does data entry for OR database.

UNIT UPKEEP - SUPPLIES AND MAINTENANCE

  1. Maintains the bulletin boards, blackboards, charting areas, storage and conference areas.
  2. Orders supplies as necessary to meet the unit's needs, including paper/form supplies.
  3. Delivers specimens, equipment and requisitions to appropriate departments.
  4. Transports patients via wheelchair and assists with stretcher transport.
  5. Maintains confidentiality within the hospital and in the community.

INVENTORY AND SUPPLY DISTRIBUTION/STORAGE

  1. Maintains and conducts inventories on a weekly basis of paper supplies.
  2. Fills orders and issues supplies as ordered/requested.

MAINTAINS ASSIGNED AREAS/SUPPLIES

  1. Keeps all shelves and work areas clean.
  2. Has knowledge of chart location.

Qualifications Education High School Diploma or Equivalent required

Can this role accept experience in lieu of a degree? No

Licenses and Credentials Experience Previous hospital experience preferred 0-1 year preferred Surgical Services: experience scheduling surgical cases preferred

Knowledge, Skills and Abilities

  • Legible handwriting and accurate spelling. Knowledge of medical terminology preferred
  • Must be able to read, write legibly, speak clearly and understand the English language
  • Must possess the ability to make independent decisions
