We are a small, patient-focused orthodontic practice seeking a personable, confident, and highly organized Treatment Coordinator to join our team. We are looking for someone who can help patients understand the value of treatment, overcome concerns, and find financial solutions that make care accessible.
Key Responsibilities
- Welcome new patients and families, creating a warm and positive first impression.
- Partner closely with the orthodontist to present individualized treatment recommendations after each consultation.
- Clearly explain treatment plans, expected outcomes, timelines, and the benefits of orthodontic care in a way that is easy for patients and parents to understand.
- Present treatment fees, review insurance benefits, and accurately explain patient financial responsibility.
- Develop customized payment options and financing solutions to help patients begin treatment with confidence.
- Use strong relationship-building and consultative sales skills to encourage patients to move forward with treatment by educating them on the long-term value of orthodontic care—not through pressure or aggressive sales tactics.
- Confidently answer questions regarding treatment, costs, insurance, and financing while addressing concerns with empathy and professionalism.
- Follow up with patients who have not yet scheduled treatment to answer additional questions and help them take the next step.
- Schedule treatment starts and coordinate care with the clinical team.
- Maintain accurate patient records and financial documentation within the practice management system.
- Assist with front office responsibilities as needed, including scheduling, answering phones, and providing exceptional customer service.
Qualifications
- Previous experience as an Orthodontic Treatment Coordinator, Dental Treatment Coordinator, Financial Coordinator, or similar dental/orthodontic role preferred.
- Orthodontic experience strongly preferred.
- Demonstrated success presenting treatment plans and helping patients move forward with care.
- Strong understanding of dental insurance, treatment financing, and payment arrangements.
- Excellent math skills and financial accuracy with the ability to confidently explain fees, insurance estimates, and payment options.
- Exceptional interpersonal, communication, and customer service skills.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- Experience using orthodontic or dental practice management software is a plus.
