Position Summary
FMGI is seeking an organized, resourceful, and detail-oriented Travel Manager to coordinate travel and lodging for our traveling construction employees, including Superintendents, Project Managers, and other field personnel.
The Travel Manager will be responsible for researching, booking, managing, and tracking accommodations and transportation throughout the United States, including hotels, Airbnb and VRBO properties, extended-stay accommodations, airfare, rental cars, and other transportation needs.
This position will also coordinate travel and lodging arrangements for company meetings, conferences, strategic planning sessions, training events, and other corporate functions.
This is an in-office position based at FMGI’s Woodstock, Georgia office and requires regular Monday–Friday attendance.
Essential Duties and Responsibilities
- Coordinate travel and lodging arrangements for FMGI employees traveling to construction projects, meetings, conferences, and company events throughout the United States.
- Research and book hotels, Airbnb properties, VRBO properties, extended-stay accommodations, airfare, rental vehicles, and other appropriate travel arrangements.
- Develop and maintain relationships with hotels, property managers, Airbnb/VRBO hosts, airlines, rental car providers, and other travel vendors.
- Work directly with Superintendents, Project Managers, Operations personnel, and other employees to determine travel dates, project locations, expected durations, and accommodation requirements.
- Manage multiple active reservations and itineraries for employees assigned to projects in different cities and states.
- Modify, extend, or cancel reservations and travel arrangements as project schedules and employee needs change.
- Quickly resolve last-minute lodging needs, flight changes, reservation problems, property issues, transportation concerns, and other unexpected travel disruptions.
- Maintain occasional availability outside normal business hours, including nights and weekends, to address urgent travel changes, cancellations, or employee travel issues when necessary.
- Identify travel and lodging options that balance employee comfort, safety, proximity, scheduling requirements, and cost.
- Evaluate lodging and transportation options based on location, pricing, amenities, parking, cancellation policies, and employee needs.
- Negotiate hotel, extended-stay, long-term lodging, and corporate rates when appropriate.
- Track travel and lodging expenses and identify opportunities to reduce company travel costs.
- Maintain accurate records of reservations, confirmation numbers, itineraries, employee assignments, property information, travel dates, and associated costs.
- Maintain a centralized travel and lodging calendar or tracking system.
- Review invoices, receipts, deposits, refunds, and travel-related charges for accuracy and assist Accounting with resolving discrepancies.
- Provide management with reports regarding travel spending, lodging costs, vendor usage, and potential cost-saving opportunities.
- Assist in establishing and maintaining FMGI travel policies, lodging standards, and booking procedures.
- Clearly communicate itineraries, reservation information, travel instructions, and changes to employees.
- Provide responsive customer service to FMGI employees while maintaining company travel policies and cost-control standards.
- Maintain confidentiality when handling employee, financial, and company information.
- Perform additional administrative and operational duties as needed.
Qualifications
- 3+ years of experience in travel coordination, corporate travel, hospitality, lodging management, office administration, operations, or a related field preferred.
- Experience coordinating travel and lodging for multiple employees simultaneously strongly preferred.
- Experience with hotel booking platforms, Airbnb, VRBO, Expedia, Booking.com, airline reservation systems, or similar travel platforms.
- Strong organizational, time-management, and prioritization skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple reservations, deadlines, projects, and schedule changes simultaneously.
- Strong problem-solving skills with the ability to respond quickly to unexpected travel issues.
- Excellent attention to detail and follow-through.
- Comfortable negotiating pricing and working with hotels, property managers, airlines, rental car providers, and other vendors.
- Ability to compare pricing and make cost-conscious purchasing decisions.
- Proficiency with Microsoft Outlook, Excel, Word, and other standard business software.
- Experience maintaining travel trackers, spreadsheets, expense reports, or reservation databases.
- Ability to work independently while collaborating with Operations, Project Management, Accounting, Human Resources, and field employees.
Preferred Qualifications
- Previous experience managing travel for construction, field service, engineering, manufacturing, or another organization with a large traveling workforce.
- Construction industry experience is helpful but not required.
- Experience arranging extended-stay accommodations for employees assigned to projects lasting several weeks or months.
- Experience coordinating airfare, rental vehicles, group travel, conferences, or corporate meetings.
- Experience negotiating corporate hotel rates or long-term lodging agreements.
- Experience tracking and analyzing corporate travel expenses.
- Familiarity with construction project schedules and the frequent changes associated with field operations.
