Description: The primary role of the Contractor Travel and Relations Coordinator is to manage and book all travel accommodations for the network of 7,000 independent contractors who support onsite events on behalf of the Health and Wellness Services division. This position also includes secondary functions to support the Health and Wellness Division contractors with answering process and policy questions specific to items that are field related and will partner with the Event Specialist team to support any necessary staffing or administrative tasks as needed. The overall purpose of this role is to deliver excellent customer service to our field contractors through their interactions with booking/securing their clinic travel or overall field operations.
Duties and Responsibilities:
Manage and book all travel accommodations for independent contractors , including delivery of contractors itinerary through email, using 3rd party vendor sites
Responsible for making changes, addendums, refunds, and cancellations for all subcontractor travel
Adhere to corporate guidelines of standards of travel, including budget constraints, quality of hotel properties, partnering with various travel companies to supply services to our clients (including corporate contacts for commercial vendors such as Hertz and Avis)
Responsible for managing budget in coordination with the Program Management team, including invoicing and reconciliation. Enforces the Travel Guidelines as provided to all contractors when booking travel
Ability to take off hours phone calls for travel escalations and fixes when needed
Enforces/references the corporate flight agreement for contractors before booking any airfare
Utilize the corporate credit card to maintain accurate records of purchase for all clients which includes keeping a master tracking grid up to date with accurate records to ensure accurate reconciliation at month end
Assisting with answering questions regarding contractors scheduled assignments or portal access
Assisting with scheduling and assigning contractors to their clinic based on the direction of the Event Specialist Team
Participates frequently with other members of the Health and Wellness Staffing team to complete to new projects or assignments as needed, depending on workload and seasonality
Qualifications:
Education Preferred: Bachelors degree from an accredited college or university preferred or equivalent experience
Work Experience:1-3 years relevant experience; past corporate travel coordination or booking experience preferred
Other: Ability to demonstrate effective customer service behaviors, including strong written and verbal communication (including excellent phone skills)
Must be highly organized with strong attention to detail
Self-starting and able to prioritize own time
Able to work in a fast-paced environment, multi-task and prioritize responsibilities
Able to work effectively with other departments as a team player
Knowledge of Microsoft Office applications, including Word and Excel
Candidates must be flexible with their schedule. Opportunities to work certain weekends and extended hours will be available
