Job Description
General Summary:
The Training Coordinator serves as the primary coordinator for the American Legion Auxiliary’s training and leadership education initiatives. This position is responsible for managing the organization’s webinar and training timelines, maintaining and evaluating content within the ALA Academy, and serving as the Program Coordinator for the National Leadership Committee.
This position operates with a moderate level of independence in managing assigned timelines and supporting training delivery, while working under the guidance of the Director. The Training Coordinator supports training content maintenance and leadership-focused programming and serves as backup support to the Events team during peak periods.
Key Accountabilities:
- Maintain thetraining calendar and delivery timelines for webinars, ALA Academy courses, and in-person training content.
- Monitors content accuracy and relevance and flags items for review.
- Serve as the staff liaison to the National Leadership Committee.
- Serve as theprimary liaison for training speakers, content developers, and volunteer leaders.
- Provide cross-functional backup support for Events team operations when needed.
- Ensure training documentation, processes, and records are consistently maintained and accessible.
Essential Job Functions:
Training & Content Management
- Maintains the ALA Academy and ALA Academy Live calendar, coordinating timelines with staff content developers, speakers, and internal stakeholders.
- Serve as day-to-day administrator for the Learning Management System (TopClass), including:
- Uploading and managing courses and webinar recordings
- Monitoring course relevance and recommending updates or retirement
- Coordinating with vendors on system updates and functionality
- Assists with preparation and organization of training materials for self-paced and blended learning experiences.
- Supports training delivery using established formats and guidelines.
- Tracks review cycles and communicates update needs to the Director.
Webinar & Live Training Execution
- Coordinate logistics for live webinars, including speaker preparation, materials collection, timelines, and post-event follow-up.
- Ensure recordings are processed, posted, and communicated according to established timelines and procedures.
- Track participation, maintain attendance records, and support evaluation review for continuous improvement.
In-Person Training Content Support
- Maintain training timelines and content guides for Mission Training, DLNC, and other in-person education initiatives.
- Coordinate with external speakers or partners as assigned, including contracts, payments, and materials.
- Travel to Mission Training events as required to support content delivery and speaker logistics.
National Leadership Committee – Program Liaison
- Serves as staff liaison for the National Leadership Committee, which includes working with National Chair, coordinating quarterly meetings, and maintaining program history.
- Supports annual awards program, including the Unit Member of the Year program
Events Division Backup Support
- Cross-train with Events team members to provide backup support for:
- Registration and on-site logistics
- Speaker coordination and materials preparation
- Virtual meeting support
- Assist with event execution during peak periods as needed.
Administrative & Organizational Support
- Maintain accurate documentation for training processes, timelines, contacts, and historical records.
- Provide responsive customer service to members, volunteers, and staff.
- Support national leadership and committee chairs related to training initiatives.
- Perform other duties as assigned.
Knowledge, Skills and Abilities:
- Excellent communication skills (written and verbal) to develop and maintain effective relationships with key stakeholders.
- Must have a high level of interpersonal skills to develop positive and productive working relationships with volunteers/members.
- Ability to solve problems and work toward win-win solutions in resolving conflicts.
- Strong written and verbal communication skills, particularly for working with volunteers and subject-matter experts.
- Familiarity withadult learning concepts, curriculum development, and instructional design principles.
- Experience managing multiple concurrent timelines with minimal supervision.
- Proficiency with Microsoft Office, Zoom, Teams, Cvent, iMIS, and LMS platforms.
- Ability to balance independent work with collaborative team responsibilities.
- Demonstrated attention to detail, organization, and deadline management.
- Commitment to veterans, military families, and volunteer service.
- Must be able to interact and communicate with individuals at all levels of the organization.
Education and Experience:
Travel & Work Conditions:
- Approximately 8% in and out of state travel, including one extended event (1–2 weeks) annually.
- Occasional evening or weekend work for live training sessions.
- Hybrid work schedule available after initial training and supervisor approval.
