Key Responsibilities
Title Clerk Duties
Prepare, process, and submit vehicle title applications, transfers, registrations, and related documents.
Verify accuracy of customer and vehicle information on all title paperwork.
Coordinate with the DMV, lenders, and internal departments to ensure timely title completion.
Track title status, follow up on outstanding items, and resolve discrepancies or rejections.
Maintain organized digital and physical title files in compliance with company and legal requirements.
Assist customers and dealership staff with title-related questions and status updates.
Accounts Payable Duties
Receive, review, and process vendor invoices.
Perform 3-way matching (invoice, purchase order, and receiving documents).
Enter invoices into the accounting system with correct GL coding.
Resolve invoice discrepancies by communicating with vendors and internal stakeholders.
Prepare payment batches and support check runs or electronic payments.
Maintain accurate AP records and assist with month-end close activities.
Respond to vendor inquiries regarding payment status in a professional and timely manner.
Qualifications
Required
High school diploma or equivalent.
1–2 years of experience as a Title Clerk, in accounts payable, or a related administrative role (preferably in an automotive dealership).
Strong attention to detail and high accuracy with data entry and paperwork.
Proficiency in Microsoft Office (Excel and Word) and general computer skills.
Ability to manage multiple priorities, meet deadlines, and work independently.
Excellent written and verbal communication skills.
Preferred
Experience with Vitu for vehicle titling and registration.
Prior experience processing vehicle titles in a dealership setting.
Familiarity with accounting software (QuickBooks or similar).
Knowledge of accounts payable best practices and 3-way matching.
