WHO WE ARE LOOKING FOR:

Fors Marsh is seeking a temporary (3 month) onsite Office Coordinator.  This in-office position provides administrative, coordination, and internal support to help execute an upcoming office move while helping keep day‑to‑day office activities running smoothly—supporting operational needs through strong organization, follow‑through, and communication.

Core Responsibilities

Serve as a go‑to coordinator for office needs, particularly those tied to preparing to move the office.

  • Support Arlington office move planning and execution:
    • Creating a schedule for all move-related activities, including meeting with building personnel, scheduling vendors to support the move, and coordinating with employees working from the office.
    • Requesting quotes from vendors for moving services, including document shredding, furniture removal, moving services, etc.
  • Support Arlington office operations including:
    • Office operations including conference room readiness and maintaining professional appearance of office. Includes serving as liaison point with building management to address maintenance and other building-related issues.
    • Monitoring office supplies and materials across locations, ordering supplies when necessary.
    • Coordination of swag, booth materials, and internal resources.
    • Receive, open, and sort all incoming mail.  Scan and route mail to the correct staff or department.
    • Deposit checks and coordinate with accounting.
  • Oversee shipping logistics including handling packages at the Arlington office and outgoing shipments. Includes coordinating logistics for conferences (e.g., packaging and shipping materials to/from conferences).
  • Tracks logistics requests, deadlines, and follow‑ups to ensure timely execution across teams.  Coordinates closely with People Operations, Finance & Accounting, and Marketing Communications.

Required Qualifications

  • 2–5 years of experience in administrative support, office management, internal operations, or coordination roles
  • Strong organizational and time‑management skills with excellent attention to detail
  • Proven ability to manage multiple requests and shifting priorities without losing follow‑through
  • Clear, professional written communication skills
  • High degree of discretion and reliability when handling internal or sensitive information
  • Ability to lift boxes and equipment up to 50 lbs
  • Must be able to work on-site in Arlington, VA 
  • Must be able to work 30 hours a week on a consistent schedule for the next 3 months

Position Status:  Temporary, 3 months, September - December 2026

Hourly rate: $30-$35/hour 

Schedule: 30 hours a week, M-F

Location: 100% on-site in Arlington, VA, at the Fors Marsh headquarters.
