Purpose of Position: This position is responsible for the administration of time tracking and payroll processing using ADP Vantage ensuring regulatory compliance and adherence to company policies for approximately 1600 employees and several thousand contingent workers in a multi-state environment and Canada.
Essential Duties and Responsibilities:Time
Responsibilities include reporting contingent employee hours to be paid to their respective agencies on a weekly basis
Submitting hour adjustments to agencies as applicable
Reconciling agency invoices received against all daily time submitted for the processing period and then sending reconciliation worksheets and supporting documentation to SVP to approve invoice for payment
Must be knowledgeable in timecard calculations as it relates to federal and state regulations to include daily, weekly and 7 consecutive day overtime in California
Must be able to interpret and apply company pay policies as it relates to timecard and accrual calculations
Based on employee indicative data, be able to determine and update employee time profiles to ensure that the employee timecard and accrual calculations are accurate
Respond to employee, manager and agency timecard inquiries
Run reports and perform multiple audits to include employee level set up, timecard and accrual calculations to ensure regulatory and company compliance
Be able to troubleshoot timecard and accrual issues
Be able to prepare and communicate internal and external process documentation and job aids
Maintain appropriate internal controls, including documentation of the performance of such controls
Assist with Payroll activities
Manage work flow notifications and take action as applicable for new hires, terminations, transfers
Assist in processing multi-state payroll
Maintain employee tax records for seasonal workers
Prepare and load import files for commissions, bonuses, gifts / prizes, etc.
Calculate manual checks
Be able to interpret and apply FLSA & state regulations particularly as it relates to regular rate for overtime and determining taxable wages
Run reports and perform detailed audits of employee indicative data changes and payroll data in preparation for payroll processing.
Administer post payroll & monthly reporting activities
Run, validate and distribute internal and external reports
Maintain appropriate internal controls, including documentation of the performance of such controls
Be able to prepare and communicate internal and external process documentation and job aids
Other duties as assigned
