Job Description

Provides a variety of records support functions; reviews and processes documents; determines and explains compliance with laws, rules, regulations and policies and takes appropriate action; maintains a manual or computerized records system; performs related work.

The Technical Records Specialist 1/Scheduling Assistant aids with the creation and management of the academic class schedule three terms per year. The role is heavily focused on data entry, system administration, classroom allocation, and quality control to ensure all course offerings align with institutional policies and space constraints. The ideal candidate possesses high attention to detail, strong data management skills, and a proactive problem-solving mindset.

This position is not eligible for new visa sponsorship at this time. Candidates who already hold valid U.S. work authorization may be considered.

Key Responsibilities

  • Assists Scheduling Coordinator with the planning and administration of the academic calendars, scheduling timelines, and correspondence.
  • Develops and maintains collaborative working relationships with departments to support university scheduling needs.
  • Continuously monitors course scheduling requests and processes course additions, modifications, and cancellations.
  • Assigns classrooms and labs based on course capacity, instructor needs, and room availability.
  • Identify and resolve scheduling issues, such as double-booked rooms, instructor time conflicts, and overlapping courses.
  • Monitors and processes academic space reservation requests.
  • Facilitates the application of special course fees and various registration restrictions.
  • Supports maintenance and system upgrades.

Minimum Qualifications

Experience:

  • Monitoring a records system to identify and correct errors.
  • Researching a variety of sources to resolve problems.
  • Interpreting, explaining and applying regulations, laws, or complex policies to carry out assignments.
  • Entering and retrieving data using a computerized records system.

Specialty Requirements - Some positions at ISU may require one or both of the following:

  • Some knowledge of medical terminology and the general benefits of Medicaid, Medicare and major insurance companies.
  • Experience working with sensitive or restricted data.

Additional Information
