The Division of Youth Safety and Permanency within the Department of Health & Welfare has a current opening for Technical Records Specialist 1. The Technical Records Specialist 1 provides administrative, clerical, and records management support for child welfare programs within the Idaho Department of Health and Welfare. This position has a wide variety of secretarial and specialized support functions requiring in-depth knowledge of program operations, policies, and procedures. The role supports child welfare social workers, maintains accurate records, processes financial and contractual documents, and serves as a point of contact for the public. This position will be located in Boise.

EXAMPLE OF DUTIES:
- Perform a wide variety of secretarial functions and coordinate non-routine secretarial and clerical activities.
- Perform specialized support work that requires in-depth knowledge of child welfare programs, processes, and documentation requirements.
- Provide general administrative support to child welfare social workers, including scheduling, document preparation, and records coordination.
- Provide front desk and phone coverage; respond to inquiries from the public, staff, and external partners in a professional and timely manner.
- Gather information, make decisions within established guidelines, resolve problems, and respond to inquiries related to program operations.
- Review, evaluate, approve, and process records and/or documents to ensure accuracy, completeness, and compliance with policies and regulations.
- Maintain accurate invoice and contract documentation; verify information and resolve discrepancies as needed.
- Prepare financial transactions, including credit card transmittals and other basic bookkeeping and financial records.
- Maintain confidentiality of sensitive and protected information in accordance with state and federal regulations.
- Organize, maintain, and retrieve physical and electronic records in accordance with records retention requirements.
MINIMUM QUALIFICATIONS:
You must possess all the minimum qualifications below to pass the exam for this position. - Experience monitoring a records system to identify and correct errors. Typically gained by one year of full-time work experience.
- Experience researching a variety of sources to resolve problems. Typically gained by one year of full-time work experience.
- Experience interpreting, explaining and applying regulations, laws, or complex policies to carry out assignments. These complex decisions could have affected the social or economic well-being of others or would result in a service or action being denied. Typically gained by one year of work experience.
- Experience entering and retrieving data using a computerized records system. Typically gained by six months of work experience.
Below is preferred experience. It is not required for the position but applicants with this experience may receive consideration over other applicants.
- Bilingual English/Spanish preferred.
