Position Description

Pay Grade: Assistant 6

This position will provide administrative support and assist in operational activities in Adult Basic Education and other areas of College & Career Readiness Instructional Programming Department.

Responsibilities and Duties (*Essential Functions)

To perform this job successfully, an individual must be able to perform the essential job functions satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the primary job functions herein described.

  • Processes contracts, contract changes, and monthly payroll for employees on non-instructional contracts and stipends
  • Coordinates hiring process: contacting and scheduling prospective interviewees, providing hiring agent appropriate paperwork and expediting the process flow in NeoGov
  • Enters data, updates and maintains Professional Development Instructor database to include instructor transcripts, workshop evaluations, instructor contact information and payroll

Maintains and updates the College and Career Readiness Handbook

Maintains online reservation system for Professional Development sessions

Disseminates Professional Development offerings to CCR staff and faculty and posts to applicable sites

Assists with scheduling meetings, training, and workshops related to professional development

Assists with the creation and assignment of CID numbers for students in College & Career Readiness and with the generation and entry of instructional contracts and sections

Works closely with the CCR Dean and Directors on special projects within the division

Submits and verifies receipt of all E-procurement orders for CCR Instructional Programming department and tracks and monitors instructional supply expenses for departments within the division

Qualifications

Knowledge, Skills & Abilities:

Intermediate skills with MS Office products

Ability to exhibit good interpersonal skills and work well with others

Ability to maintain records accurately and be able to meet deadlines consistently

Demonstrates good organizational skills

Ability to perform normal duties with minimal supervision

Excellent written and verbal communication skills

Exceptional customer relations skills

Requirements:

High school diploma or its equivalent

Two years of related office experience

Preferences:

Associates degree in Office Systems Technology, Business, Computer Information Systems, or related field
