    Job Description

    The Talent Acquisition System Administrator is responsible for configuring, managing, integrating, and enhancing the organization's Applicant Tracking System (ATS) and Candidate Relationship Management System (CRM) within the veterinary industry. This role is pivotal in ensuring the ATS /CRM operates as a reliable, well-integrated system of record-supporting efficient workflows, robust reporting, and seamless connections to other business systems. This position is instrumental in building and maintaining custom integrations, generating and analyzing reports for actionable insights, and ensuring an effective, well-functioning recruiting platform for both candidates and hiring teams.

    ROLE SPECIFIC ACTIVITIES

    • Efficiently configure, manage, and administer all aspects of the ATS platform (Avature, preferred) to support the recruitment process tailored to the veterinary industry.
    • Design, build, and maintain custom integrations between the ATS and other business systems (HRIS, payroll, onboarding, background check, assessment, and job board platforms), ensuring reliable data flow across the technology ecosystem.
    • Perform data mapping, field configuration, and data transformation to ensure accuracy and integrity between integrated systems.
    • Troubleshoot integration errors and system issues by reviewing API logs, error messages, and data payloads, coordinating with vendors and internal IT as needed.
    • Generate and analyze detailed reports from the ATS to understand recruitment effectiveness and recruiting funnel performance to inform strategic decisions.
    • Oversee regular data audits to verify accurate data entry and management, ensuring the ATS database is current, clean, and comprehensive.
    • Using email, Teams messaging, and a ticketing system, act as the go-to support for ATS-related inquiries from hiring managers and recruiters, ensuring smooth operation and user satisfaction.
    • Continually assess and refine recruitment workflows and system configurations to improve efficiency and the overall user experience.
    • Collaborate with People Solutions, Learning & Development, and hiring managers to facilitate a smooth and welcoming transition for new hires.
    • Identify opportunities to streamline and improve the recruitment and onboarding processes through system automation and best practices.
    • Collaborate with the broader recruiting team to ensure a cohesive and consistent approach to talent acquisition technology.
    • Stay informed about relevant employment laws and regulations.
    • Ensure compliance with company policies and legal requirements throughout the recruitment process.
    • Perform other duties assigned within the nature and level of work.
    • Contribute to the development and implementation of strategies to enhance the overall candidate experience

    REQUIRED EDUCATION AND EXPERIENCE

    • Bachelor's degree in human resources, Business Administration, or related field, proven experience in talent acquisition or HR administration, with a solid understanding of ATS & CRM platforms. (Avature preferred)
    • Experience supporting and administering recruiting platforms and tools. Experience in system configuration, implementation, and troubleshooting
    • Strong problem-solving skills and a proactive approach to issue resolution
    • Exceptional organizational and data management skills, with meticulous attention to detail
    • Excellent communication and interpersonal skills, with the ability to interact effectively across all levels of the organization
    • Experience in developing and maintaining partnerships with external vendors and platforms
    • Strong understanding of the end-to-end recruitment process
    • Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously
    • Efficient time management to meet tight deadlines
    • Ability to identify and address challenges in the recruitment process
    • Proactive approach to solving problems and improving processes
    • Flexibility and adaptability to changing priorities and needs
    • Willingness to take on new responsibilities and challenges
    • A customer-centric mindset, providing a positive experience for both candidates and internal stakeholders
    • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
