Position Overview

A large public-sector organization in downtown Los Angeles is seeking an experienced Recruitment Coordinator to support its Talent Acquisition and Human Resources team.

The ideal candidate will have at least 5 years of recent, hands-on experience supporting full-cycle recruitment activities in a fast-paced environment. This position is heavily focused on recruitment coordination, candidate communication, interview scheduling, applicant tracking, and administrative support throughout the hiring process.

We are specifically seeking candidates who currently work or have recently worked in a dedicated recruitment support role, such as Recruitment Coordinator, Recruiting Assistant, Talent Acquisition Coordinator, or Recruitment Specialist.

Key Responsibilities

  • Support recruiters and hiring managers throughout the full recruitment lifecycle, from job requisition through candidate selection and preboarding.

  • Coordinate interviews, assessments, testing, and candidate scheduling across multiple departments.

  • Maintain accurate applicant records, recruitment activities, and candidate statuses within applicant tracking systems, preferably iCIMS.

  • Communicate professionally with candidates, recruiters, and hiring managers regarding interview logistics, hiring updates, and required documentation.

  • Prepare recruitment materials, interview packets, candidate files, and preboarding documentation.

  • Track recruitment activities, maintain spreadsheets, and prepare reports using Microsoft Excel.

  • Review and audit recruitment records to ensure accuracy, completeness, and compliance with established procedures.

  • Support multiple recruiters simultaneously while managing competing deadlines and high-volume recruitment activities.

  • Develop and maintain recruitment procedures, reference guides, and administrative documentation.

  • Handle confidential candidate and employee information with professionalism and discretion.

Required Qualifications

  • Minimum 5 years of relevant experience in recruitment coordination, recruiting administration, talent acquisition support, or closely related HR functions.

  • Associate's degree or higher from an accredited college or university in a related field is required.

  • Proficiency in Microsoft Office, including Excel (VLOOKUP and Pivot Tables), Word, PowerPoint, Outlook, and OneDrive.

  • Experience using applicant tracking systems to manage candidate information, requisitions, and recruitment workflows.

  • Strong experience coordinating interviews, communicating with candidates, and supporting multiple recruiters or hiring managers.

  • Excellent organizational, written communication, and time management skills.

  • Ability to maintain accurate records, follow established procedures, and handle sensitive information confidentially.

Preferred Qualifications

  • Direct experience with iCIMS applicant tracking software.

  • Experience supporting high-volume recruitment within a large organization.

  • Experience in public-sector recruitment or human resources.

  • Experience developing training materials, process documentation, and procedural guides.

  • Strong interpersonal skills, adaptability, attention to detail, and the ability to work effectively under pressure.

This is a hands-on recruitment support position, not a general HR Generalist, HR Business Partner, or HR Manager role. Candidates should be comfortable handling the day-to-day administrative and coordination responsibilities of a busy recruitment department.
