Description

Job Posting: Systems Administrator

The Organization: Who is Emancipet?

More than a career, it’s a movement. Emancipet, the leading non-profit veterinary care provider in the United States, is on a mission to make veterinary care affordable and accessible for everyone. For the past 25 years, we’ve been building a national network of low-cost veterinary clinics that provide low-cost, high-quality, and compassionate care in underserved communities. Our clinics have the power to transform communities into places where no one has to forego veterinary care for their pets because the cost is out of reach. You are invited to join the movement!

We are dedicated to building and supporting a diverse workforce. Emancipet is committed to applying a social justice lens to our work by evaluating and ensuring that our systems, policies, practices, language, and programs create equitable access, opportunities, engagement, and inclusivity for all people, and people from historically marginalized groups in particular. We strive to live by our values and be an organization where the culture created by our diverse staff and board advances our mission and vision, and supports organizational excellence and sustainability.

The Team: Who is Information Technology?

It’s not just what we do, but how we do it that makes the difference. Emancipet’s Information Technology (IT) team keeps the devices, networks, accounts, and core platforms behind our clinics and shared services running, and makes sure they work together. We partner closely with our Research, Data, and Analytics (RDA) team so the information our systems capture stays accurate and usable as we grow.

We support Emancipet in achieving its three bottom lines—Quality Medicine, Transformative Service, and Financial Sustainability—by giving clinic and support staff technology they can count on. When systems are secure, reliable, and easy to use, veterinary teams spend their time on patients instead of workarounds, and the organization can expand access to affordable care with confidence.

The Systems Administrator reports to the Information Systems Manager and is the hands-on technical lead for the day-to-day health of our systems: the devices, accounts, networks, and core platforms that our clinics and shared services teams rely on every day.

The Opportunity: Tell me more about the Systems Administrator position

At Emancipet, we serve over 90,000 families a year. Every few minutes a veterinary team spends fighting with slow equipment or broken integrations is one less patient we’re able to see that day. We believe technology should be an invisible engine—a powerful, silent force that drives our mission forward without getting in the way of creating transformative experiences for our clients and staff. We are seeking a Systems Administrator who takes pride in keeping that engine running, and who knows that a well-maintained, well-documented environment is what lets a growing organization stay reliable.

This is a role for a hands-on problem solver who likes to see things through to the finish. You’ll own the daily operation of our environment: making sure staff have the right access on their first day and lose it on their last, devices are managed and patched, the network is stable at every clinic, and support requests get a timely, clear response. You’ll work closely with the Information Systems Manager to turn our technology roadmap into working reality—rolling out modern identity and device management, standardizing how our clinics are set up, and documenting how everything works so that knowledge doesn’t live in any one person’s head.

You will thrive here if you are organized, responsive, and steady when several things break at once. You communicate clearly in writing, you would rather fix the root cause than solve the same problem twice, and you find real satisfaction in being the reason things just work for the people caring for pets and their families.

In this position, you will be responsible for the following:

Systems Administration & Identity Management (30%)

  • Administer our Microsoft 365 environment, including Entra ID and SharePoint, with an emphasis on security and consistency.
  • Own the user lifecycle—onboarding, role changes, and offboarding—in partnership with People & Culture, so staff have the right access at the right time across core platforms including PIMS, HRIS, ERP, and CRM.
  • Implement and maintain role-based access, multi-factor authentication, single sign-on, and password management standards.
  • Manage software accounts and licensing, flagging unused or redundant licenses to the Information Systems Manager.

Endpoint, Network & Clinic Infrastructure (30%)

  • Configure and manage devices through Microsoft Intune or other MDM tools, including compliance policies, patching, and security updates for laptops, desktops, tablets, and mobile devices.
  • Maintain network infrastructure at our clinics and central office—firewalls, switches, Wi-Fi, and internet service—and coordinate with providers to resolve outages quickly.
  • Carry out the IT asset lifecycle day to day: setup and deployment, inventory tracking, repairs, and secure retirement of equipment.
  • Build and maintain standard technology setups for clinics (workstations, printers, peripherals, and connected clinical equipment) so every site is consistent and easier to support.
  • Conduct regular site visits to clinics for installations, infrastructure audits, and in-person support.

Support Operations & Escalation (25%)

  • Serve as the escalation point for support requests in our ticketing system, resolving issues and keeping requesters informed from start to close.
  • Monitor shared support channels and meet response and resolution standards so clinic and shared services staff can count on timely help.
  • Coordinate with our managed service provider (MSP) and other vendors on escalated issues, holding them to agreed service levels.
  • Train staff on new tools and on how and where to request support, especially during technology rollouts.

Documentation, Security & Continuous Improvement (15%)

  • Write and maintain clear documentation—system configurations, standard operating procedures, network diagrams, and knowledge-base articles—that others can actually follow.
  • Track project work and status in our project management tool so priorities and progress are visible to all relevant stakeholders.
  • Support security practices, including endpoint protection, backups, and disaster recovery testing, and help respond to security incidents.
  • Spot recurring issues and manual tasks that could be automated (for example, with PowerShell or workflow tools) and bring recommendations to the Information Systems Manager.

What You Bring (and We Know No One Has It All!)

  • Mission-driven and aligned with Emancipet’s values of compassionate service, excellence, teaching & learning, and optimism.
  • 3+ years of experience in systems administration, IT operations, or a similar hands-on technical role.
  • Hands-on experience administering Microsoft 365 and Entra ID (Azure AD), including user, group, and access management.
  • Experience designing, configuring, and administering Microsoft Intune from the ground up, including tenant configuration, automated device onboarding (Autopilot/ADE), baseline security and compliance policies, SCIM and SSO, and proactive patch management.
  • Solid networking fundamentals (TCP/IP, DNS, DHCP, VLANs, VPN, Wi-Fi) and experience supporting firewalls and switches.
  • Working knowledge of security best practices, including MFA, endpoint protection, least-privilege access, and backup and recovery.
  • Experience supporting technology in high-volume, multi-site environments (clinical, retail, or hospitality) where equipment uptime directly impacts the ability to serve clients.
  • Familiarity with SaaS administration and how core business systems connect (SSO, APIs, integrations); scripting experience in PowerShell or similar is a plus.
  • Experience working from a ticketing system and partnering with an MSP or outside vendors.
  • Strong written communication: you keep people updated without being asked, and your documentation is clear enough for someone else to pick up.
  • A patient, people-first approach to helping non-technical staff, including clinical teams working under time pressure.
  • Organized and dependable, able to balance daily support with longer-term projects, and comfortable asking for help prioritizing when everything feels urgent.
  • Relevant degrees or certifications (such as Microsoft 365 Administrator) are a plus.

You Don’t Have to Check Every Box! We recognize that candidates bring diverse skills and experiences, and you may be a great fit even if you don’t check every box. If you’re passionate about our mission and confident in your ability to succeed in this role, we encourage you to apply.
