The Surgical Materials Coordinator is responsible for supporting perioperative supply chain operations by ensuring the availability, accuracy, and management of surgical supplies and inventory. This role works closely with clinicians, procurement personnel, and vendors to maintain inventory integrity, manage backorders, verify consigned inventory usage, and support supply documentation within EPIC and Workday.

Compensation Pay Range:

$24.50 - $35.00

ESSENTIAL FUNCTIONS

Essential Responsibilities

Inventory Management & Control

  • Manage and maintain PAR locations throughout Perioperative Services, ensuring established inventory levels are accurate and sufficient to support daily operations.
  • Monitor inventory utilization and replenish stock to maintain optimal supply levels while minimizing excess inventory.
  • Conduct routine audits of inventory locations to ensure product accuracy and compliance with organizational standards.
  • Identify inventory discrepancies and coordinate corrective actions as needed.

Consignment Inventory Management

  • Verify consigned inventory utilized during surgical procedures.
  • Enter requisitions and inventory transactions accurately and timely.
  • Reconcile consigned product usage against clinical documentation and vendor records.
  • Ensure accurate charge capture and inventory reporting for consigned items.

Systems Documentation

  • Utilize EPIC clinical documentation and Workday to review supply utilization, verify product usage, and maintain inventory records.
  • Ensure inventory transactions and requisitions are completed accurately within designated systems.
  • Support data integrity and reporting related to surgical supplies and inventory activities.

Backorder & Product Substitution Management

  • Monitor product backorders and supply disruptions impacting perioperative operations.
  • Collaborate closely with clinicians, vendors, and the procurement team to identify suitable substitute products.
  • Facilitate product evaluations and obtain necessary approvals for substitutions.
  • Communicate supply constraints and approved alternatives to affected stakeholders.

Collaboration & Customer Support

  • Serve as a liaison between clinical staff, procurement, vendors, and supply chain leadership regarding inventory-related issues.
  • Assist with product conversions, new product implementation, and inventory optimization initiatives.
  • Provide timely resolution to supply concerns to support uninterrupted patient care.

Compliance & Quality

  • Maintain compliance with organizational policies, regulatory requirements, and inventory management best practices.
  • Support continuous improvement initiatives focused on inventory accuracy, operational efficiency, and cost management.
  • Maintain accurate records and documentation related to inventory activities and supply utilization.

Qualifications

  • Associate degree preferred; equivalent healthcare supply chain experience considered.
  • Experience in healthcare materials management, inventory control, or perioperative supply chain operations preferred.
  • Working knowledge of EPIC, Workday, and inventory management systems preferred.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to collaborate effectively with clinical staff, vendors, and cross-functional teams.
  • Proficiency in Microsoft Office applications, particularly Excel.

Primarily working Monday- Friday 6:00 am- 2:30 pm rotating weekend/evening coverage as requested to meet the needs of the department.
