    Overview:
    Are you a master organizer who excels at helping patients feel confident and cared for? As an ASC Surgical Coordinator/Patient Care Representative at Atlantic Surgery Center, you will bridge the gap between front office hospitality and detailed surgical preparation. In this key role, you'll welcome arriving patients, manage check-ins, and meticulously coordinate all required surgical charts, clearances, and records ahead of procedures. Working closely with our Director of Nursing, surgical counselors, and doctors, you'll serve as the main connector keeping our clinical team prepared and our surgery day running seamlessly. 

    Responsibilities:
    Surgical Coordination:
    • Coordinate and manage the collection of all required documentation for scheduled surgical patients.
    • Collaborate with office-based surgical counselors to ensure patient charts are complete and ready for surgery.
    • Retrieve missing documentation, medical records, test results, clearances, and other required information from physician offices.
    • Prepare and organize surgical charts, at least two weeks prior to the scheduled surgery date.
    • Notify the Director of Nursing and surgical counselors of any scheduling changes, documentation issues, errors, cancellations, or delays.
    • Ensure surgeons and anesthesiologists receive all necessary medical records and patient information prior to the date of surgery.

    Front Desk / Patient Registration:
    • Welcome patients and visitors upon arrival to the center in a professional and courteous manner.
    • Verify patient identity using approved identification procedures.
    • Register and check patients into the ASC system.
    • Notify clinical staff of patient arrivals.
      Copy anesthesia billing information as required.
    • Answer incoming telephone calls and appropriately triage inquiries.
    • Schedule, communicate, and provide post-operative appointment information to patients.
    • Maintain visitor and vendor logbooks and ensure all required HIPAA confidentiality forms are completed and signed.
    • Scan completed patient charts and documentation into the electronic medical record (EMR) system at the end of each day.

Due to continued growth, the center is expanding to a two-OR facility within the next year. 

    Qualifications:
    • Knowledge of medical terminology, insurance verification, surgical scheduling, and medical records management.
    • Strong organizational skills with exceptional attention to detail.
    • Excellent customer service, communication, and interpersonal skills.
    • Ability to manage multiple priorities in a fast-paced healthcare environment.
    • Proficiency in electronic medical records (EMR/EHR) systems and Microsoft Office applications.
    • Ability to work effectively with patients, physicians, nursing staff, vendors, and administrative personnel.
    • Previous experience in a medical office, ambulatory surgery center, patient registration, surgical scheduling, or healthcare administration preferred.

    Education Requirements:
    • High school diploma or equivalent required; Associate degree preferred.
