Required Qualifications:

  • Strong communication skills for interacting with patients, doctors, and administrative teams
  • Organizational skills to manage multiple schedules and deadlines effectively
  • Knowledge of insurance processes and pre-authorization requirements
  • Proficiency with scheduling software (e.g., OR Manager, Epic, Cerner) and electronic health records
  • Ability to prioritize tasks and respond promptly to urgent scheduling needs
  • Experience with healthcare documentation and scheduling systems such as: EPIC

Responsibilities:

  • Schedule surgeries according to physician requests, surgeon availability, and patient medical needs, using established clinic or hospital guidelines
  • Coordinate pre-operative requirements, including obtaining authorizations, medical clearances, lab results, and test reports before scheduling
  • Communicate with patients to confirm appointment details, provide pre- and post-operative instructions, and answer questions about surgery logistics
  • Manage patient records and ensure all necessary forms, consents, and insurance information are complete and accurate
  • Update schedules promptly for any changes, and notify all relevant parties (physicians, clinic staff, insurance) of modifications
  • Handle administrative tasks such as preparing surgical packets and ensuring supplies and documentation are ready for procedures
  • Collaborate with clinic staff. Key tasks include scheduling colonoscopies, EGDs, and other GI procedures; reviewing provider orders; confirming patient demographics; managing referrals and authorizations; documenting patient communications
  • Strong proficiency in Outlook for patient and provider communication, Excel for tracking schedules, authorizations, and reports, Word for letters, instructions, and templates, Teams for internal communication
  • Knowledge of obtaining prior authorizations, checking eligibility and benefits, and using payer portals.
  • Skills include: Updating demographics, Verifying insurance information, Reviewing consent and registration forms, Managing patient records
  • Ability to manage provider and procedure schedules, coordinate endoscopy center availability, schedule anesthesia when required, handle cancellations, reschedules, and waitlists, optimize procedure block utilization
