    Surgery Clerk - Part Time

    Reports to Surgery Manager

    Schedule: Monday-Friday 8:00 AM - 12:00 PM - 20 hours/week

    POSITION SUMMARY: The Surgery Clerk is responsible for scheduling surgical procedures while providing administrative support to surgeons, operating room staff, patients, and other healthcare team members. This position ensures that surgical cases are scheduled accurately and efficiently, required information and documentation are obtained, and communication between the surgical team, patients, physicians' offices, and ancillary departments is maintained.

    ESSENTIAL FUNCTIONS:

    • Schedule and coordinate surgical procedures according to surgeon, operating room, facility, and patient requirements.

    • Obtain and verify accurate patient demographic, insurance, procedure, and physician information.

    • Coordinate surgery dates and times with surgeons, physician offices, operating room personnel, anesthesia, and other departments as appropriate.

    • Enter and maintain surgical schedules accurately within the electronic medical record (EMR).

    • Confirm required preoperative testing, medical clearances, consents, orders, and other documentation are completed prior to surgery.

    • Communicate preoperative instructions, arrival times, location information, and other scheduling details to patients and/or their representatives.

    • Contact patients and physician offices regarding scheduling changes, cancellations, delays, or missing information.

    • Coordinate procedure changes and communicate updates promptly to all affected departments and personnel.

    • Maintain accurate records and ensure documentation is complete and available for scheduled procedures.

    • Assist with insurance verification, authorization, referrals, and other financial or administrative requirements as applicable.

    • Monitor upcoming surgical schedules for missing information or potential scheduling conflicts.

    • Maintain confidentiality of patient information in accordance with HIPAA and organizational policies.

    • Answer telephone calls, respond to messages, and direct questions to the appropriate department or provider.

    • Provide courteous and professional customer service to patients, families, physicians, and staff.

    • Assist with daily clerical and administrative functions within the surgical services department.

    • Identify scheduling issues or discrepancies and escalate them appropriately.

    • Follow established policies, procedures, infection-control standards, and regulatory requirements.

    Education:

    • Preferred: High school diploma or equivalent

    License/Registration/Certification:

    • Required: BLS Certification

    Experience:

    • Preferred:

    Previous experience in surgical scheduling, perioperative services, hospital admissions, or a physician practice.

    • Experience with medical terminology.

    • Familiarity with insurance verification, prior authorization, and referral processes.

    • Experience working with an EMR.

    Knowledge/Skills/Abilities:

    • Excellent written and verbal communication skills, required.

    • Ability to maintain quality, safety, and/or infection control standards.

    • Strong attention to detail.

    • Highly developed problem-solving and organizational skills.

    • Ability to prioritize work and stay calm under pressure.

    • Ability to adapt to varying work volumes and frequent interruptions to workflow.

    • Ability to prioritize to meet deadlines on daily work and special projects.

    • Must be able to work independently with minimal supervision.

    • Ability to learn and use various computer programs.
