Title: Support Service 3 - Technology

Reports To: Director of Technology

Pay Plan: 75 hours per pay period

Type: Full Time

FLSA: Non Exempt

Emergency Classification: Class I

Summary: The Support Service 3 is under direct supervision but must be able to make independent decisions based on department policies and procedures. This position is under the direction of the Director of the Department. Provides daily assistance to the Director on all aspects of the Department of Technology. Works closely with the Director to improve functions and efficiency within the Department.

  • Assist with the management and fulfillment of DoT Help Desk tickets.
  • Coordinate procurement, vendor correspondence, change orders, receipt, distribution, and payment of technology related items/services for STPG enterprise and dependent agencies.
  • Monitor DoT's financial standing and obligations, including outstanding purchase requisitions, issue change orders and budget transfers, etc.
  • Maintain an accurate inventory of software, equipment, communications, and other IT related items, as to procurement costs, renewals periods, and End-Of-Life/End-Of-Service dates.
  • Reviews communication related charges, to include telephone, internet, and broadband for accuracy for Director's review and accounts payable approval.
  • Maintain cost allocations distribution for STPG Departments and dependent agencies, for all communications costs, not limited to phones, internet services, broadband, etc.
  • Manage broad band services, to include activation, de-activation, equipment acquisition and disposal.
  • Provide administrative support for technology related projects, from initial setup of project, capturing/collecting supporting documentation, requisition creation, change order request, capital asset recordation, tracking orders/services reconciliation, to project close out.
  • Maintain emergency operation documentation, to include emergency tasks (by DoT Section and response level), emergency staff reporting schedule, emergency staff sheltering requirement, and emergency staff contact information.
  • Provide DoT staff support, from employee requisitioning, coordination of time off request, emergency event staffing, termination.
  • Provide Director with timely reports.
  • Position requires a responsible individual who can recommend and make important decisions related to departmental activities
  • Must have complete knowledge of department budget(s) and procedures
  • Works closely with the Director to improve department functions and efficiency
  • May prepare resolutions and ordinance for submission to the governing authority
  • Typically works closely with other departments or governing bodies
  • Assist in the preparation of the Operating and Capital Budgets; prepares all schedules for the Operating Budget as directed
  • May be responsible for the maintenance and upkeep of all computer software codes, control records and documents as related to the department
  • May supervise clerical workers/employees and oversee the training for office personnel
  • May be required to attend after hour meetings in the absence of and/or as requested by the Director
  • Upon request of the Director may be required to complete training or college courses related to position
  • Schedules appointments when requested. Required to work overtime and/or by shift during emergencies
  • Regular, consistent attendance is required
  • Any other duties as assigned - including duties of a Support Service 1 and 2

Competencies: Employee must be able to operate basic office equipment, office computer and software, and any other specialty equipment needed for the position. Employee must have excellent organizational and time management skills. Employee must be able to communicate effectively and has excellent customer service and interpersonal skills. Employee should have a familiarity with financial software packages. Employee should have knowledge of the principles and practices of public administration and governmental organizations. Work Environment: The incumbent works in a typical office environment with little or no exposure to unpleasant environmental conditions or hazards. Primary functions are limited to an office environment. Occasional duties may require travel or working in non-office environment.

Physical Demands: Medium work. Medium work involves lifting no more than 50 pounds at a time with frequent lifting or carrying of objects weighing up to 25 pounds. If someone can do medium work, we determine that he or she can also do sedentary and light work.
