Reports To: Utilities Operations Administrator

Pay Plan: 75 hours per pay period

Type: Full Time

FLSA: Non Exempt

Emergency Classification: Class II

Summary: The Support Service 2 is under direct supervision but must be able to make independent decisions based on department policies and procedures. They are responsible for providing clerical and administrative support to the department's services and all program administration.

  • Department purchasing needs for projects, materials, inventory & operations
  • Customer service - answering phone, assisting with customer concerns/complaints, returning customer calls / emails, notifying customers of flushing/service interruption
  • Work Order entry, close out and tracking
  • Monthly SSO report for wastewater compliance
  • Employee incident reporting and documentation
  • Tracking annual employee training (ethics, sexual harassment & cyber), Operator certifications and CE hours
  • Monthly PO report reconciliation
  • Assist with Cross Connection program and compliance (as needed)
  • Assist with Residential Cost of Service process (as needed)
  • Facilities liaison - requires entering and tracking work order requests, badge activation / issues
  • Experience working in a high-pressure office environment (where multi-tasking is required, and customer service is a priority) is preferred
  • Proficiency with advanced features in Microsoft Office applications including utilizing formulas and macros in Excel, inserting videos in PowerPoint presentations, etc. preferred
  • Monitor all departmental budgets and purchase orders
  • Maintains office by organizing office operations, reviewing and approving supply requisitions; assigning and monitoring clerical functions. May include reviewing for completeness and accuracy all monthly invoices
  • Maintain internal quality control measures, accumulate data, prepare payment requests, purchase orders, special reports and presentations
  • Assist in monitoring all departmental revenues and expenditures
  • May need to maintain and monitor all departmental contracts; including office equipment maintenance
  • May supervise clerical workers/employees and oversee training for office personnel
  • As assigned, attend meetings, briefings, training sessions, and seminars
  • Regular, consistent attendance is required
  • Any other duties as assigned - including duties of a Support Service 1

Competencies: Employee must be able to operate basic office equipment, office computer and software, and any other specialty equipment needed for the position. Employee must have strong verbal and written communication skills and organizational skills. Must be able to communicate clearly with staff and public and provide clear, concise, and accurate information, excellent organizational and time management skills.

Work Environment: The incumbent works in a typical office environment with little or no exposure to unpleasant environmental conditions or hazards. Primary functions are limited to an office environment. Occasional duties may require travel or working in non-office environment.

Physical Demands: Sedentary work. Sedentary work involves lifting no more than 10 pounds at a time and occasionally lifting or carrying articles like docket files, ledgers, and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required occasionally and other sedentary criteria are met.

Required Education/Qualifications: High School diploma or equivalent GED and three years' experience in a position with significant administrative responsibilities.
