At Heartland Roadshow, we are a fast-growing leader in live-action sales and precious metals, specializing in jewelry, coins, and collectibles. We operate nationwide with a large mobile sales and field team, relying on robust, efficient supply operations to ensure our teams have the materials and equipment they need to succeed anywhere in the country.
Are you a strategic procurement and supply chain professional who excels at vendor negotiations, process optimization, and demand forecasting? Heartland Roadshow is seeking a hands-on Supply & Fulfillment Manager to own and optimize our nationwide supply and drop-ship fulfillment operations.
Unlike traditional warehouse roles, this position operates in a zero-stock, drop-ship model. You will be responsible for forecasting supply needs for over 400 nationwide buyers and field teams, managing vendor relationships, negotiating pricing, reconciling receipts, and building scalable systems—including transitioning our supply request workflow to an efficient ticketing system. You will also manage a small team (2 direct reports) to ensure seamless execution, budget alignment, and timely delivery of supplies directly to our traveling field staff.
Vendor Management & Procurement: Build and maintain relationships with key vendors and suppliers. Negotiate terms, volume discounts, shipping, and purchasing agreements across third-party suppliers, Amazon, and specialty vendors.
Drop-Ship Logistics & System Optimization: Manage and refine the drop-ship fulfillment process for field teams. Lead the transition to an internal ticketing system for supply requests, tracking SLAs and resolution times.
Demand Forecasting & Inventory Planning: Analyze historical purchasing trends and future sales schedules to forecast supply needs, preventing emergency rush shipments and shortages.
Financial Management & Receipt Reconciliation: Partner closely with Accounting to perform receipt reconciliation, expense tracking, and budget variance analysis to ensure spending aligns with business projections.
Process Improvement & SOPs: Identify operational bottlenecks and establish clear Standard Operating Procedures (SOPs) for supply requests, vendor escalations, and issue resolution.
Team Leadership: Supervise, mentor, and support two direct reports, fostering an organized, service-oriented mindset within the supply function.
Training Support: Coordinate supply logistics for incoming training classes and ensure field kits/materials are accurately prepared and drop-shipped on schedule.
5+ years of experience in procurement, vendor management, purchasing, or non-inventory supply chain operations.
Proven track record in vendor negotiations, contract management, and cost-reduction initiatives.
Strong experience in demand forecasting, budget modeling, and analyzing spending trends.
Experience implementing or managing ticket-based workflows (e.g., Zendesk, Jira, Freshdesk, or similar order-request systems).
Financial acumen with experience in receipt reconciliation and expense reporting.
Strong leadership skills with prior experience managing direct reports.
High proficiency in Excel/spreadsheets, data analysis, and reporting tools.
Experience supporting remote, multi-location, or traveling field sales teams.
Background in drop-ship logistics or vendor-managed inventory models.
Familiarity with AI tools or modern automation tools to streamline administrative workflows.
System Builder: Someone who thrives on identifying operational pain points and establishing structured, scalable workflows.
Negotiator & Analyst: A data-minded leader who actively looks for cost savings, trends, and opportunities to negotiate better vendor pricing.
Cross-Functional Partner: Able to collaborate smoothly with Accounting, Field Operations, Training, and executive leadership.
Accountable & Detail-Oriented: Meticulous about tracking order accuracy, receipts, and supply timelines for field teams.
