EDUCATION & EXPERIENCE

#LI-TA1, JOB DESCRIPTION OVERVIEW:

The Practice Coordinator Supervisor leads and supports the day‑to‑day operations of the Hospital Medicine (HM) Practice Coordinators (PCs) across assigned facilities, both onsite and remotely. This role ensures efficient chart flow, timely batch submission, and accurate documentation to support revenue integrity and monthly close targets, while developing and maintaining positive working relationships with staff, TeamHealth leadership, and key stakeholders.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Recruit, interview, and hire candidates for Practice Coordinator (PC) roles.
  • Plan, organize, and supervise daily PC workflows to ensure compliance with chart capture and batching timelines.
  • Train new and existing staff on batching processes, EMR systems, billing document management systems, and charge capture platforms.
  • Prepare and review weekly reports to monitor batch flow, Incompletes, Missings, and ETM metrics.
  • Ensure adherence to established batching workflows across all facilities in accordance with the Practice Coordinator manual.
  • Conduct bi-weekly one-on-one meetings and monthly team meetings with direct reports.
  • Provide hands-on support to PC workflows as needed based on staffing demands.
  • Manage staff schedules, approve timecards and time-off requests, and audit trends in accordance with company policy.
  • Oversee daily workflow queues (workflow, exception, and incomplete) within the billing document system, ensuring timely progression and escalation of coding or registration issues.
  • Support new contract start-ups, including onboarding, training, and participation in meetings; travel onsite (minimum of two days) as required.
  • Train clinicians on charge capture platforms when needed.
  • Ensure EMR access is obtained and maintained for all assigned facilities.

Operational Support and Special Projects

  • Assist with initiatives such as PCP Notification, Emergency Department Medical Director support, Acute-to-Post-Acute tracking, and processing of forms (e.g., home health, EKGs).
  • Support recognition events (e.g., Doctor's Day).
  • Complete monthly audits of the charge capture system to ensure process consistency and timely filing.
  • Review and process Unbillables and Unrecoverables to maximize revenue recovery.

Reporting, Auditing, and Data Management

  • Gather, verify, and distribute monthly facility dashboard data and hospital metrics.
  • Conduct quarterly batch audits to ensure process compliance and accurate patient capture.
  • Ensure PCs maintain tools such as Daily Census Reports, Productivity Calculators, and Batch Trackers; follow up on trends or errors.

Leadership and Performance Management

  • Enforce policies and manage disciplinary actions when necessary.
  • Conduct monthly rounding with Vice Presidents of Operations and quarterly rounding with Facility Medical Directors to ensure appropriate PC support.
  • Identify and report trends related to Incompletes, Missings, Unbillables, Unrecoverables, and Days to Billing to leadership stakeholders.
  • Maintain regular communication with internal leadership, facility contacts, and stakeholders; escalate workflow deviations as needed.

Administrative and Professional Responsibilities

  • Respond promptly to communications (calls, emails, messages).
  • Travel overnight (1-5 nights) as required.
  • Maintain strict confidentiality in accordance with HIPAA and organizational standards.
  • Promote TeamHealth's strategic priorities: Patient Safety, Clinician Engagement, Client Retention, and Operational Excellence.
  • Meet assigned performance goals and maintain professional appearance and conduct.
  • Perform additional duties as assigned within the scope of the role.
  • Acknowledge that responsibilities may evolve based on business needs or performance.
