Job Summary
The Program Specialist Supervisor provides supervision and operational oversight for program specialist staff to ensure safe, efficient, and high-quality patient care. This role is responsible for supervising program specialist personnel, developing and implementing standardized workflows, and promoting consistent practice across the organization through continuous training and performance monitoring. The Program Specialist Supervisor ensures compliance with Epic electronic medical record standards, identifies education and training opportunities, and delivers hands-on training as needed to improve documentation accuracy and workflow efficiency. Additionally, this position coordinates staffing, troubleshoots daily coverage challenges, conducts performance evaluations for staff, and collaborates with leadership in the development of Standardized Operating Procedures (SOP).
Job Specific Duties and Responsibilities
Provides day-to-day supervision and support to Program Specialists. Ensures compliance with processes and procedures, regulatory requirements, and Epic documentation standards. Develops, implements, and maintains standardized workflows and operating procedures across various lines of business. Monitors adherence to standardized procedures through audits, feedback, and continuous improvement efforts. Coordinates daily staffing and resolves coverage issues based on operational needs. Serves as the primary point of contact for staff regarding workflow barriers, safety concerns, and EMR-related questions. Identifies training needs and provides ongoing education, competency validation, and Epic training for staff. Conducts performance evaluations and provides coaching and corrective feedback to staff. Performs special projects and other related duties as assigned.

Problem solving and organizational skills required. Ability to lead employees and manage multiple priorities simultaneously. Ability to cultivate effective partnerships and work in collaboration with providers, other health care professionals, caregivers, patients and community members. Proficient in the use of current technology, including Microsoft Office products. Ability to learn and effectively use electronic medical records and other systems and equipment. Professional and effective written and verbal communication skills. Ability to identify and employ communication strategies appropriate to the audience. Ability to maintain accurate documentation and records in a timely manner.
Ability to work independently performing a wide variety of assignments that require the use of independent judgment, systems-thinking, problem-solving, organization, and prioritization skills.
