    Supervisor of Scheduling and Referral Management
    Location: Boardman, OH (Southwoods Executive Centre)
    Status: Full-time, Monday – Friday, Day Shift
     
    Role Overview
    The Scheduling and Referrals Supervisor oversees all aspects of ambulatory, surgical, and procedural scheduling, as well as referral management across multiple service areas within The Surgical Hospital at Southwoods and Triad Health Services. This leadership role ensures efficient, accurate, and patient-centered scheduling while driving process improvements to enhance revenue cycle performance and the overall patient experience.
     
    Essential Duties
    • Operational Leadership: Supervise daily scheduling and referral operations across multiple service lines, acting as a subject matter expert for dyad reporting relationships.
    • Performance Management: Track, analyze, and report operational metrics to upper management; handle escalated scheduling or referral issues in a timely manner.
    • Surgical Scheduling: Coordinate daily surgery and procedure schedules in alignment with physician orders, room/equipment availability, and provider block time utilization.
    • Referral Management: Oversee inbound and outbound referral workflows across the provider network, ensuring accurate documentation and proper communication with external referring offices.
    • Team Supervision: Manage staff scheduling, time cards, PTO requests, payroll approval, performance evaluations, and ongoing training.
    • System Integration: Participate in EMR updates, workflow assessments, and new practice onboarding to ensure seamless scheduling alignment.
    • Compliance & Quality: Maintain strict compliance across all responsible provider practices with relevant regulatory agencies including OSHA, ODH, BOP, and TJC.
     
    Qualifications
    • Education & Experience: Associate or Bachelor’s degree in Business Administration or a related field, OR a minimum of 5 years of experience in healthcare scheduling and referral management.
    • Certification: Certified Revenue Cycle Representative (CRCR) preferred.
    • Technical Knowledge: Deep understanding of healthcare scheduling systems, clinic workflows, and insurance referral processes.
    • Leadership Skills: Results-driven leadership style with strong critical thinking, problem-solving, and conflict-resolution abilities.
    • Communication: Exceptional interpersonal and communication skills with a proven ability to maintain a professional demeanor at all times.
