    Description

    Summary:

    The Supervisor, Clinical Response role is responsible for overseeing the day-to-day activities related to the screening and evaluation of all potential organ donors.  This includes overseeing the team that provides initial onsite evaluation of potential organ donors, staffing for current and potential donation opportunities, coordinating logistics involved with the donation process and collaborating with the healthcare team to optimize each potential donor through donor management goals.  Activities include, but are not limited to, being knowledgeable of individual hospital and OPTN policies related to donation of all anatomical gifts; facilitate general activities required throughout the donor recovery period under the direction of the Medical Director and Clinical Operations leadership; collaborate with Family Care, Hospital Development, and Donor Services to foster, promote, and sustain cross-departmental collaboration in support of optimal outcomes.

     

    Essential Job Functions and Responsibilities:

    • Communication
      • Participate in team huddles.
      • Responsible for critical communications related to donor activity, as needed.
      • Collaborate with the Administrator on Call (AOC), Chief Medical Officer (CMO), Advanced Practice Provider (APP) team, and/or Director, Clinical Services to evaluate and address complex case issues, particularly those with potential significant financial, regulatory, or legal impact to the organization.
    • Time Management
      • Maintain skills of Clinical Responder by performing onsite donor management during at least one (1) shift monthly or as required for operational needs.
      • Maintain regular office hours in addition to all responsibilities.
      • Manage schedule of assigned direct reports to ensure adequate staffing.
      • Oversee activities related to potential donor referrals and dispatch staff onsite for completion of consult, approach, and various clinical activities.
    • Attention to Detail
      • Review information documented in case charts to verify accuracy and completeness of documentation.
      • Ensure proper documentation during training of all assigned employees.
    • Problem-Solving
      • Actively monitor referrals and case activity, providing input for optimal strategies.
      • Participate in donor case review.
      • Oversee the coordination and execution of research initiatives and Quality Improvement initiatives (PDSA) approved by organization leadership under the direction of Clinical leadership.
    • Accountability
      • Perform, oversee, and provide clear direction to others related to all assigned duties and expectations of Clinical Responders.
      • Serve as next level of in-field operational coverage when established staffing resources and all other reasonable coverage alternatives have been exhausted to ensure continuity of Clinical Services operations.
      • Complete organization leadership development training, as assigned.
      • Approve employee expense reports timecards, and Paid Time Off (PTO) requests in accordance with organization guidelines and policy.
      • Oversee use of HelloTracks to support operational accountability, including monitoring staff utilization and deployment, identifying and addressing discrepancies, and ensuring adherence to established departmental expectations.
    • Conflict Resolution
      • Facilitate resolution of workflow breakdowns and communication concerns between Referral Operations, Clinical Services, and hospital stakeholders to ensure continuity of referral management.
      • Ensure conflict resolution efforts are documented appropriately and escalated to leadership when issues involve potential compliance, regulatory, or legal impact.
      • Participate in root cause analysis related to department functions.
      • Conduct employee appraisal, performance improvement plans, and corrective action plans under the direction of the Manager, Clinical Services.
    • Coaching & Feedback
      • Assist the People Services department in recruiting, interviewing, and onboarding of direct reports.
      • Assist the Learning & Development department in the development of training materials, programs, curriculum, and continuing education related to clinical functions.
    • Performs other job-related duties as assigned that are consistent with the purpose of the role.

     

    Education, Experience, and Licensing Requirements:

    •  Associate’s degree in allied or health science is required. A combination of alternative education and experience may be considered in lieu of the formal education requirements.
    •  Licensed Registered Nurse, LVN, RRT, or Paramedic is preferred.
    •  Basic Life Support (BLS) and Advanced Cardiovascular Life Support (ACLS) certification is required.
    •  Certified Procurement Transplant Coordinator (CPTC) is preferred.
    •  Minimum of 1 year of experience in critical care, participating in multidisciplinary care teams or critical care huddles is required.
    •  Experience in OPO is preferred.
    •  Experience as a preceptor in a clinical setting is preferred.
    •  Experience in leadership is preferred.
    • Current Driver’s License is required and maintained with an acceptable driving record as defined by STA policy.

     

    Compliance:

    This position is classified as OSHA Bloodborne Pathogens Exposure Category I. Employees in this role routinely perform job duties that may involve direct contact with blood, bodily fluids, or other potentially infectious materials (OPIM).  Appropriate use of Personal Protective Equipment (PPE) is required at all times.

    • Employees will receive mandatory training on bloodborne pathogens, safe work practices, and proper PPE usage. Employees must comply with all applicable federal, state, and local laws, accreditation requirements, and organizational policies.
    • This role requires compliance with HIPAA and all confidentiality standards related to patient, donor, employee, and organizational information. Employees must safeguard all confidential information and disclose it only as permitted by law and organizational policy.
