Job Duties
The Newport News General District Court is seeking a highly motivated, organized, and customer-focused individual to lead the Civil Division. This position is responsible for supervising and coordinating the daily operations of the Civil Division in a high-volume court environment while ensuring the efficient and accurate processing of all civil matters.
The Supervising Deputy Clerk is responsible for planning, organizing, assigning, and reviewing the work of deputy clerks to ensure compliance with Supreme Court of Virginia policies, state statutes, court procedures, and local office practices. This position provides leadership, training, coaching, and guidance to staff while promoting a positive, professional, and team-oriented work environment.
This position serves as a resource for Judges, attorneys, law enforcement agencies, litigants, and the public by providing courteous and professional assistance both in person and by telephone. The Supervising Deputy Clerk must exercise sound judgment, maintain confidentiality, effectively resolve issues, and ensure exceptional customer service. Additional duties and special projects may be assigned by the Clerk of Court.
Essential Duties & Responsibilities
Supervising the daily operations and workflow of the Civil Division.
Assigning, monitoring, and reviewing work to ensure accuracy, timeliness, and compliance with court policies and procedures.
Training, mentoring, and evaluating deputy clerks while identifying opportunities for professional development.
Ensuring civil cases, garnishments, unlawful detainers, protective orders, judgments, and other civil filings are processed accurately and within required timeframes.
Managing daily docket preparation and courtroom support.
Monitoring division productivity and implementing process improvements to enhance efficiency and customer service.
Assisting with scheduling, staffing, and workload distribution to meet operational needs.
Responding to complex customer inquiries and resolving procedural issues involving attorneys, litigants, and the public.
Preparing reports, correspondence, and maintaining accurate records using automated case management systems.
Assisting with performance management, coaching, corrective action documentation, and employee development.
Ensuring compliance with Supreme Court of Virginia policies, local court procedures, and Clerk's Office expectations.
Assisting management with projects, policy implementation, and other administrative duties as assigned.
Performing deputy clerk duties as needed to ensure efficient court operations.
Minimum Qualifications
The most competitive candidates will possess:
High school diploma or equivalent required.
Considerable experience performing deputy clerk duties in a court environment or an equivalent combination of education and experience.
Demonstrated leadership, supervisory, or team lead experience preferred.
Thorough knowledge of court procedures, legal terminology, and case management systems.
Excellent organizational, problem-solving, and decision-making skills.
Strong written and verbal communication skills.
Ability to effectively prioritize multiple assignments while meeting strict deadlines.
Ability to train, motivate, coach, and evaluate employees.
Strong customer service skills with the ability to remain calm and professional in high-pressure situations.
Proficiency with Microsoft Office applications and automated case management systems.
Additional Considerations
Previous supervisory or management experience.
Experience in a Virginia General District Court Civil Division.
Experience processing garnishments, unlawful detainers, protective orders, judgments, and civil filings.
Experience with performance management, employee coaching, and workflow planning.
Demonstrate the ability to improve operational efficiency and foster a collaborative team environment.
