Job Description
UMKC's Division of Student Affairs is seeking three (3) Student Support Case Managers to provide proactive, individualized outreach and support to undergraduate students identified through enrollment information, early alerts, and other indicators that may affect persistence. The advocate helps students identify barriers, create practical plans, connect with university and community resources, and follow through on next steps. The position manages a caseload of approximately 50 students and contributes to the university's goals for first year retention, academic progression, degree completion, engagement, and student satisfaction.
Key Responsibilities
Student Outreach and Case Management
- Manage an assigned caseload of approximately 50 students, with caseload size adjusted as program needs and case complexity require.
- Initiate timely, persistent, and respectful outreach through approved communication channels rather than waiting for students to request help.
- Complete an initial needs assessment with each student, identify immediate and longer term concerns, and develop a student centered action plan.
- Maintain regular contact, monitor progress, and revise support plans as student needs change throughout the academic year.
- Use a strengths based approach that supports student agency while providing clear guidance, accountability, and follow up.
Student Advocacy and Resource Coordination
- Help students address barriers involving problem solving, time management, work and life balance, academic demands, financial wellness, basic needs, mental health resources, and career or life goals.
- Provide accurate information about university processes and help students prepare to communicate with faculty, staff, and campus offices.
- Coordinate warm handoffs to appropriate academic, financial, health, wellness, accessibility, career, engagement, and basic needs resources; confirm connection when follow up is appropriate.
- Work closely with UMKC Central and the CARE Team and maintain effective referral relationships with academic units and student support programs across campus.
- Recognize urgent or elevated concerns and promptly consult with a supervisor, the CARE Team, or other appropriate university personnel according to established protocols.
Early Identification and Intervention
- Engage students beginning with pre enrollment information and continue support through the first year and other designated transition periods.
- Review authorized data and referrals to identify students who may benefit from support, including students with attendance concerns, unpaid balances, limited learning management system engagement, work obligations, major life events, or other approved indicators.
- Participate in team review of new risk triggers and elevated cases and help determine the appropriate level of intervention or referral.
- Coordinate with established cohort based programs to prevent duplication and ensure students receive support from the office best positioned to serve them.
Documentation Data and Assessment
- Document outreach attempts, student contacts, identified needs, referrals, action steps, and outcomes in the unit's approved shared system in a timely and objective manner.
- Follow university requirements for confidentiality, data access, record retention, and appropriate information sharing.
- Maintain accurate caseload records and contribute to reports on outreach, interventions, resource use, and student outcomes.
- Support assessment of the unit's work through measures such as fall to spring retention, first to second year retention, completed credit hours, grade point average, campus service use, number of interventions, and student satisfaction.
- Use program data and student feedback to recommend adjustments to outreach practices, intervention strategies, and the risk indicator framework.
Program and Campus Collaboration
- Participate in case consultation, staff meetings, training, and continuous improvement activities for the Dean of Students Office.
- Build working relationships with faculty, academic advisors, UMKC Central, Residential Life, financial aid and financial wellness staff, counseling and health services, career services, student engagement offices, and other partners.
- Assist with development and implementation of outreach campaigns, intervention protocols, student communications, and educational resources.
- Perform other duties consistent with the purpose and responsibilities of the position.
Minimum Qualifications
- A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary
Preferred Qualifications
- Bachelor's degree in social work from an accredited institution.
- Experience supporting students, clients, or community members through case management, social services, advising, advocacy, or a related setting. Relevant field education or internship experience may be considered.
- Demonstrated ability to assess needs, develop action plans, coordinate referrals, document services, and maintain professional boundaries.
- Ability to handle sensitive information with discretion and follow applicable university policies and procedures.
- Experience working in higher education, student affairs, college access, student success, or retention programs.
- Experience serving first generation students, Pell eligible students, students balancing employment and school, or other students navigating barriers to degree completion.
- Experience using student information systems, case management platforms, early alert systems, or customer relationship management tools.
- Knowledge of community resources and public benefits relevant to college students.
Anticipated Hiring Range
The anticipated hiring range for this position has been established as up to $54,000 annually.
Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.

These are grant-funded positions with an anticipated end date of three years from the employee's start date. Continuation of employment is contingent upon the availability of grant funding, project needs, and satisfactory job performance.
