Job Summary
Under general supervision, this position is responsible for providing administrative support in the day-to-day operations of the Student Services unit within the Division of Student Success. The incumbent works closely with the Dean of Students and their team on established work priorities, special initiatives, and college-wide projects.
This position maintains official records related to student records including academic, financial, and behavioral matters. At times, there may be a need to travel to the Winona campus to support special events.
RESPONSIBILITIES AND RESULTS
Provide administrative support to Student Services
Perform data entry assistance such as processing student information, placement scores, changes to the student's advisor and/or major, high school transcripts, immunization records, reciprocity forms, and graduation applications through appropriate databases such as Perceptive Content, ISRS and Workday.
Provide support for the transfer credit process including intake of college transcripts and the entry of transfer information in uAchieve.
Compile, maintain, and report job placement data for recent graduates to support institutional effectiveness and completion of the Minnesota State Graduate Follow-Up Placement Report.
Assist students and graduates with career information databases and online job search systems; collaborate with employers to facilitate job postings and promote employment opportunities through appropriate college channels.
Support campus compliance with Gender-based Violence Prevention Training requirements by monitoring student participation, communicating with students regarding outstanding requirements, and adding or removing registration holds in consultation with the Dean of Students.
Maintain accurate and confidential student conduct records in Maxient by compiling, updating, and managing case documentation and related data.
Support departmental budget management by monitoring expenditures, processing expense reports, maintaining financial records, and ensuring compliance with college and Minnesota State fiscal policies and procedures.
Perform a variety of administrative, clerical, and front-line customer service duties to support efficient Student Services operations and special projects.
Assist with activities and projects related to the Carl D. Perkins Fund
Under the direction of the Perkins fund coordinator, monitor and track inventory, assist staff and faculty with Perkins related purchasing, and track Perkins related expenditures throughout the fiscal year.
Collaborate with the Business Office and other departments in order to gather data and prepare required financial reports.
Participate in the annual Perkins planning process along with the appropriate college staff and external partners.
Attend relevant trainings to augment understanding of best practices related to the Carl D. Perkins fund.
Coordinate logistics and implement Perkins related events.
Support the welcoming and assisting of campus members and visitors
Support the daily operations of the Red Wing campus front desk by assisting with opening and closing procedures and ensuring a welcoming, professional environment for students, employees, and visitors.
Foster a positive customer service experience by providing accurate information, responding to inquiries, and connecting students, employees, and community members with the appropriate offices, services, and resources.
Serve as the primary backup for incoming telephone calls for both campuses, responding to inquiries when possible and routing callers to the appropriate department, office, or staff member for assistance.
Minimum Qualifications
Math-Sufficient to add, subtract, multiply divide when working with budgets and student data.
Typing Keyboarding (40WPM)-Sufficient to draft correspondence for the College.
Demonstrated computer software skills associated with programs similar to Word, Excel, PowerPoint, Office, Zoom, MS Teams, etc.
Strong interpersonal skills including team-building skills that encourage collaboration with a diverse population.
Customer service skills sufficient to effectively and sufficiently deal with customer inquiries to ensure customer satisfaction.
Ability to develop and maintain confidentiality of private data as well as the ability to use professional discretion when dealing with confidential matters and issues.
English (speaking and or writing/or reading orally)-Sufficient to communicate with students, prospects, parents, and community members of the College via email, phone, or in person.
Ability to effectively prioritize and execute tasks in a high-pressure environment.
Ability to travel between the Red Wing and Winona campuses.
Attention to detail necessary to ensure student information, and financial records are accurately entered and maintained.
Preferred Qualifications
College diploma in administrative field or AAS degree in administrative support or related field
2 years previous experience in a college setting or related administrative field.
Multilingual or multicultural background or experience working with underserved populations.
Ability to carry out administrative functions in a setting where supervision is not constant.
Knowledge of college policies and procedures, programs, services, and resources and the ability to locate resources is helpful in addressing student needs.
Knowledge of specialized programs and software such as Integrated Statewide Records System (ISRS), uAchieve, Perceptive Content, Maxient.
