Billing Specialist AssistantPay Rate: $29.50/hour  Position Summary
We are seeking a detail-oriented Student Billing Specialist Assistant to provide high-quality customer service and administrative support in a higher education environment. This role serves as a primary point of contact for students, families, faculty, staff, and external stakeholders by responding to inquiries related to student accounts, billing, financial services, registration processes, and related student support functions.

The ideal candidate has excellent communication, organizational, and problem-solving skills, along with the ability to interpret policies, maintain confidentiality, and deliver exceptional customer service in a fast-paced environment.
Key Responsibilities
  • Serve as the primary point of contact for students, parents, faculty, staff, and external customers by phone, email, and in person.
  • Respond to inquiries regarding student accounts, billing, payment options, refunds, account balances, holds, and related account activity.
  • Provide information on institutional policies, procedures, and applicable federal, state, and institutional regulations.
  • Review and interpret student account information using enterprise student information systems and online payment platforms.
  • Process student account transactions, including refunds, payment plans, deferred payments, third-party sponsorships, contract payments, stop payments, and account adjustments.
  • Place, release, and manage account holds in accordance with established policies and procedures.
  • Investigate and resolve customer concerns while escalating complex issues when appropriate.
  • Maintain accurate records and documentation of customer interactions and account activity.
  • Support daily administrative operations, including monitoring department email, answering incoming calls, processing incoming mail, and maintaining departmental records.
  • Provide front-line customer service support at centralized student service centers or reception areas as needed.
  • Collaborate with cross-functional departments, including Financial Aid, Registrar, Admissions, and other administrative offices, to resolve student account issues.
  • Ensure compliance with privacy regulations, including the Family Educational Rights and Privacy Act (FERPA), when handling confidential student information.
  • Perform additional administrative and customer service duties as assigned.
Required Qualifications
  • Associate's degree or equivalent combination of education and customer service or administrative experience.
  • Experience providing customer service in a professional office, financial services, higher education, or administrative environment.
  • Strong verbal and written communication skills.
  • Excellent organizational, time management, and multitasking abilities.
  • Experience handling confidential information with professionalism and discretion.
  • Proficiency with Microsoft Office Suite and enterprise database or student information systems.
  • Ability to interpret policies, procedures, and regulations while providing accurate information to customers.
  • Strong analytical and problem-solving skills with attention to detail.
Preferred Qualifications
  • Experience working in higher education, student services, student accounts, bursar, registrar, financial aid, or related administrative offices.
  • Knowledge of FERPA regulations and student privacy requirements.
  • Experience with student information systems (SIS), enterprise resource planning (ERP) platforms, or online payment systems.
  • Experience processing student billing, receivables, refunds, payment plans, or account reconciliation.
  • Experience providing front-desk or centralized student service support.
