Page Reports To:Director of Student Assignment & Enrollment Salary Grade: 107 Work Location: Lincoln Center FLSA Status: Nonexempt Work Schedule: 12 Month Position Summary The District Registrar serves as a vital point of contact for current and prospective Chapel Hill-Carrboro City Schools (CHCCS) families by delivering exceptional customer service in person, via phone, and through email. This position facilitates the student registration process, particularly assisting families who are unable to complete online applications.This role requires frequent interaction with students and families, many of whom may be Spanish-speaking. Fluency in Spanish is strongly preferred to support communication, provide translations of school documents, and facilitate interpretation during parent meetings.

The District Registrar is responsible for reviewing and processing registration and enrollment documentation to ensure full compliance with federal, state, and local policies and laws. A key function of the role is to verify student residency using the district's assignment map and ensure proper school placement. The position requires close collaboration with various departments including but not limited to exceptional children, transportation, and school-based staff, to support a smooth school transition for newly enrolled students. Additional responsibilities may include managing student transfers, address changes, and conducting domicile investigations, as well as performing other duties related to enrollment and student assignment as needed. Maintaining strict confidentiality and exercising professionalism and efficiency are essential to success in this role. The ideal candidate will be detail-oriented, customer-focused, and committed to upholding the values and goals of CHCCS in all interactions and processes. Essential Duties

  • Provides excellent customer service to current and prospective Chapel Hill-Carrboro City Schools families both in person, via telephone, and email.
  • Handles all work related matters in an efficient, professional, and confidential manner while adhering to the goal of providing excellent customer service.
  • Assumes primary responsibility for the registration of all new students grades K-12, and address changes for current students.
  • Facilitates the registration application process with families of new students that are unable to complete the process online, using the designated student information system. This includes, but is not limited to the registration of students for the purpose of the magnet programs lottery.
  • Reviews and processes required registration and enrollment documentation to ensure compliance with federal, state, and local laws and policies.
  • Reviews documentation and makes school assignment decisions in accordance with federal, state, and local laws and policies.
  • Utilizes the school district's student assignment map, GIS systems, and property tax records to ensure that all new and registered students are domiciled for Chapel Hill-Carrboro City Schools.
  • Creates and maintains files for documents pertaining to registration, address changes, in-district transfers, and out-of-district transfers.
  • Collaborates with other departments and staff such as the business and financial services department, exceptional children department, transportation, school data managers, schools counselors, social workers, International Welcome Center staff, the McKinney-Vento contact person, etcetera to carry out the responsibilities and duties of the position.
  • Maintains strict confidentiality with student data and all matters pertaining to the responsibilities and duties of the position based upon board policy and the Family Educational Rights and Privacy Act (FERPA).
  • Facilitates translation and interpretation services for families daily, most often in Spanish, but also in other languages as needed to complete the registration and enrollment process.
  • Assists with all other student assignment, registration, and enrollment related tasks as assigned. These tasks may include but are not limited to the magnet programs lottery, student transfers, address changes, and domicile

investigations. Education/Experience Requirements

  • High school diploma or equivalent.
  • Strong interpersonal and customer service skills.
  • Ability to manage multiple tasks with attention to detail and deadlines.
  • Demonstrated cultural competence and ability to work with diverse populations.
  • Associate's degree or higher in education, administration, or a related field preferred.
  • Fluency in Spanish (oral and written) is strongly preferred.
  • Proficiency in Infinite Campus or a similar Student Information System (SIS) platform preferred.

  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards
