Essential Job Functions

WHAT DOES A STAFF ASSISTANT I DO?

  • Analyzes and makes recommendations to the unit manager for the resolution of problems of work procedure and space allocation; and participates in the implementation of changes resulting from recommendations as needed.
  • Prepares reports and projections of workload and staffing for the manager of the unit.
  • Coordinates and resolves problems between the unit served and departmental housekeeping, payroll, personnel, and reproduction services.
  • Has responsibility for evaluating, ordering, maintaining, loaning, and inventorying supplies and equipment, and for resolving procurement problems with the departmental supply officer.
  • Supervises clerical personnel with responsibility for assigning and reviewing work, orientation, training, development and evaluation of work performance.

Requirements

REQUIREMENTS TO QUALIFY:

At least one year of experience in one of the following:

  • performing entry-level administrative analytical work to assist in evaluating operations, policies, procedures, budgets, personnel matters, programs, or organizational issues at the level of Administrative Aid* or higher, -OR-
  • providing secretarial support to a senior executive, department/organization head, or manager of a major division, bureau, section, or organizational unit within a large and complex organization at the level of Secretary III or higher, -OR-
  • supervising at least 3 staff, including assigning and reviewing work, coordinating assignments, training employees, evaluating performance, and other supervisory duties at the level of Supervising Clerk*or higher

What matters is that your experience is at a similar level - meaning your job involves similar responsibilities, requires comparable skills and knowledge, and takes place within a similar organizational structure. SPECIAL REQUIREMENTS INFORMATION:

  • Typical duties at the level of Administrative Aid include collecting, compiling, analyzing, and interpreting data; assisting with studies and research projects; evaluating operational issues; preparing reports and correspondence; and developing or substantially contributing to recommendations for process or program improvements.

Acceptable Los Angeles County classes at the level of Administrative Aid include, but are not limited to, Staff Assistant, PSS, Board Specialist, Accountant I, Program Aid I, CEO, or higher.

Typical duties at the level of Secretary III include coordinating activities; serving as a liaison between management and relevant stakeholders; preparing correspondence, reports, and other executive-level documents; managing calendars and meetings; monitoring projects and tracking assignments; interpreting policies and procedures; and independently resolving complex administrative matters.

  • Typical duties at the level of Supervising Clerk include training employees, evaluating performance, scheduling staff, approving leave requests, participating in hiring and other personnel-related activities, enforcing policies and procedures, resolving operational issues, and recommending improvements to work processes and office operations.

Acceptable Los Angeles County classes at the level of Supervising Clerk include, but are not limited to, Supervising Sheriff Station Clerk, Library Assistant I, Supervising Payroll Clerk, Senior Legal Office Support Assistant, or higher.

ENDORSEMENT OF COUNTY QUALIFICATIONS:
