About the Role
We are seeking an experienced, analytical Staff Accountant to support full-cycle accounting operations in a project-based environment. This role requires strong QuickBooks Enterprise experience, especially with job costing, purchase orders, account reconciliations, payroll, purchasing support, and month-end close. The ideal candidate will be comfortable owning day-to-day accounting responsibilities while also helping improve processes, strengthen reporting, and support future growth. The role is intended to support current accounting leadership and may offer long-term growth into a more senior accounting or controller-level position as the company evolves.
Key Responsibilities
The Staff Accountant will be responsible for a broad mix of accounting, reporting, payroll, purchasing, and process-improvement duties.
  • Manage and maintain accounting activity in QuickBooks Enterprise, including job costing, purchase orders, payables, receivables, and financial reporting.
  • Perform month-end close activities, including account reconciliations for approximately 15 balance sheet and income statement accounts.
  • Prepare and post journal entries related to prepaids, accruals, prior-year adjustments, and other accounting findings.
  • Support job cost reporting, including tracking costs by project/program and helping prepare reports used for percentage-of-completion calculations.
  • Analyze project costs, revenue recognition, timing of expenses, and potential project overruns or losses.
  • Ensure costs are properly allocated to the correct jobs, programs, or departments.
  • Track and reconcile project-based inventory activity using spreadsheet-based tools; inventory is not maintained as balance sheet inventory but must be tracked by job/program.
  • Maintain and analyze Excel-based inventory worksheets, including use of pivot tables, macros, and advanced spreadsheet functionality.
  • Process bi-weekly payroll for approximately using Bamboo as the HR system.
  • Review timesheets, including salaried employee time reporting and uncompensated overtime tracking for job-costing purposes.
  • Support benefits-related reconciliations, including analyzing invoices, employee enrollments, retroactive billing, and related journal entries.
  • Enter and place purchase orders based on engineering requests and supporting documentation.
  • Track vendor confirmations, delivery dates, long lead-time items, and on-time delivery performance.
  • Follow up proactively with vendors and communicate delivery updates to engineering and project stakeholders.
  • Assist with weekly payables processing, check runs, cash flow monitoring, and funds transfers as appropriate.
  • Work with department leaders and project managers to set, track, and report against budgets.
  • Provide project managers with financial updates, including project status, cost performance, over/under budget trends, and related reporting.
  • Assist with finance-related activities, including crowdfunding raises, as needed.
  • Help document, update, and improve accounting policies, procedures, and workflows.
  • Evaluate current manual or antiquated processes and recommend improvements as the business grows.
Required Qualifications
Candidates should bring strong accounting fundamentals, systems proficiency, and the ability to analyze financial information rather than simply enter data.
  • Strong experience with QuickBooks Enterprise is required.
  • Demonstrated experience with job costing, project-based accounting, and purchase order processing.
  • Solid understanding of accounting principles, including assets, liabilities, revenue recognition, expenses, accruals, prepaids, and reconciliations.
  • Experience performing account reconciliations and preparing journal entries.
  • Payroll experience, including timesheet review and employee benefit-related reconciliations.
  • Strong Excel skills, including pivot tables, macros, and spreadsheet-based tracking tools.
  • Ability to analyze transactions, identify discrepancies, and understand the financial impact of adjustments.
  • Experience working with multiple departments, project managers, engineers, vendors, and leadership.
  • Strong attention to detail, follow-through, and ability to manage multiple responsibilities in a hands-on role.
  • Ability to work independently, ask thoughtful questions, and improve processes over time.
