Origence is seeking an experienced, highly organized, and proactive Senior Executive Assistant to provide executive-level administrative and operational support to our President & CEO and other senior executives. Reporting to the Senior Director of Administrative Services and Board Relations, this role serves as a trusted partner responsible for managing priorities, coordinating executive activities, and ensuring the smooth operation of the executive office.

How You'll Contribute

Executive Calendar, Travel & Expense Management

  • Manage complex calendars for the President & CEO and senior executive leaders, including scheduling meetings, coordinating travel, and resolving conflicts.

  • Coordinate domestic and business travel arrangements, ensuring seamless execution of itineraries and logistics.

  • Prepare, submit, and reconcile expense reports, including executive expenses requiring Board Chair review and approval.

  • Anticipate scheduling needs and proactively identify efficiencies and opportunities to maximize executive effectiveness.

Executive Communications, Reporting & Projects

  • Prepare, review, edit, and proofread correspondence, presentations, reports, spreadsheets, charts, and executive documents.

  • Draft and send communications on behalf of executive leadership as appropriate.

  • Conduct research, gather information, and analyze data to support executive decision-making.

  • Assist with special projects and strategic initiatives as assigned.

  • Ensure all deliverables are completed accurately, professionally, and within established timelines.

Corporate & Administrative Support

  • Partner closely with executive leadership and internal teams to coordinate administrative activities and follow-through on key action items.

  • Design, distribute, and track meeting and event invitations.

  • Manage executive season ticket programs and related logistics.

  • Review contracts and supporting documentation prior to executive signature.

  • Enter purchase requests and manage departmental supply needs.

  • Coordinate document preparation, scanning, copying, and distribution activities.

  • Maintain a high level of professionalism, responsiveness, accuracy, and attention to detail.

Meeting & Event Coordination

  • Coordinate internal and external meetings, ensuring all logistics are completed successfully.

  • Maintain recurring executive meeting schedules and proactively address calendar conflicts.

  • Prepare meeting agendas, collect supporting materials, and document meeting notes when required.

  • Support executive off-sites, events, and business meetings.

  • Travel occasionally to support meetings and executive initiatives.

Education

  • High School Diploma required.

  • Bachelor's degree or equivalent combination of education and relevant experience preferred.

Experience

  • 5 to 8 years of executive administrative experience.

  • Minimum of 2 years supporting a President, CEO, or comparable executive leader in a corporate environment.

  • Experience supporting multiple senior executives and managing competing priorities.

  • Demonstrated experience coordinating executive travel, meetings, and confidential communications.

Recognizing Your Impact

The starting hourly range for this full-time position in Irvine, California is $38.46 - $48.08 per hour. This base pay takes into consideration internal equity, geographic location, job-related knowledge, skills, and experience, among other factors.

Origence maintains a highly competitive compensation program. Under company guidelines, this position is eligible for an annual bonus program designed to reward achievement of business and individual goals. Bonus awards are discretionary and determined in accordance with company policies.
