 Senior Administrative Assistant
 Pay Rate: $23/hr.
 Schedule: Monday - Friday, 40 hours per week, with the ability to work overtime as needed
 Location: Hybrid - Quincy, MA (onsite & remote)

 

We are seeking a highly organized and detail-oriented Senior Administrative Assistant to provide critical support to a team managing state client accounts and transactions. This role plays a key part in ensuring the accurate receipt, retention, sale, tracking, research, and reconciliation of unclaimed securities, all in compliance with federal regulations, unclaimed property laws, and contractual requirements.

 

What You'll Bring:

  • Experience in securities custody and mutual fund transaction management
  • Strong organizational skills and attention to detail
  • Excellent verbal and written communication abilities
  • Proficiency in MS Word, Access, and Excel
  • A proactive, 'can-do' mindset with the ability to meet deadlines
  • Strong customer service skills and experience in client support
  • Ability to work independently and as part of a team in a deadline-driven environment
  • Effective multitasking and prioritization skills

 

Key Responsibilities:

  • Support the management of unclaimed property securities portfolios for assigned custody contracts
  • Assist with voluntary corporate actions for state clients
  • Upload files into custodian portal systems and flag exceptions for resolution
  • Handle phone, fax, and email communications with clients and securities transfer partners
  • Send notifications, reminders, and due notices for corporate actions
  • Reconcile mutual fund statements and compile exception reports
  • Research corporate actions, dividend payments, and related securities activities
  • Assist in training new team members
  • Recommend and help implement process improvements to enhance service quality
  • Open and distribute incoming mail according to procedures
