Do great things! Durham Technical Community College is hiring a Transcript Evaluator Specialist . The Admissions, Registration, and Records Transcript Evaluator is responsible for coordinating a comprehensive system of transcript evaluation for students transferring to Durham Tech. The Transcript Evaluator determines a student's eligibility for transferable credit through the examination of external transcripts.

Examples of Duties

  • Serve as a college expert on information regarding the transferability of external courses and their equivalents at Durham Technical Community College.
  • Evaluate incoming external transcripts (transcripts originating from other high schools, colleges, and universities, domestic or international) to determine and officially record equivalent transfer credit in accordance with Durham Technical Community College's, Southern Association of Colleges and Schools', and Department of Education's policies and regulations.
  • Determine if external transcripts originate from accredited high schools, colleges, and universities, domestic or international.
  • Ensure that transfer credit is accurately, and completely recorded in the student information system (Colleague) to support degree audit and advising.
  • Ensure proper security for Durham Tech's student educational records in accordance with the Family Educational Rights and Privacy Act (FERPA), state law, NC Community College System regulations, and college policies and procedures.
  • Utilize, re-design, and implement processes to scan, document image, and automate transcript evaluation tasks in Colleague, Durham Tech's student information system.
  • Maintain current knowledge and communication with external liaisons at high schools, colleges, and universities to stay up to date on course descriptions, number systems, and other information necessary to provide accurate transcript assessment.
  • Maintain current knowledge and communication with the curriculum dean, internal program directors, division heads, college advisors, and other college personnel to stay up to date on Durham Tech's course descriptions, pre-requisites, course number systems, and other advising or course information necessary to provide accurate external transcript assessment.
  • Participate and maintain current knowledge via on-going professional development for transcript evaluation functions in Colleague and other technical support concerns.
  • Manage student and advisor electronic, and written correspondence with specific regard to transcript evaluation and transfer credit activities.
  • Provide support to students or advisors who have questions or concerns about transcript evaluation.
  • Develop and maintain a web-based college manual with specific written procedures on the receipt, evaluation, and recording of external transcripts.
  • Serve as backup for all other Admissions, Registration, and Records office functions including, but not limited to printing internal student transcripts as needed, processing admission applications, entering and processing graduation applications, and assisting with grades or class rosters.
  • Provide reception coverage in the Admissions, Registration, and Records office when appropriate.
  • Assist with registration and graduation ceremony activities.
  • Participate as part of the unit's team in planning and decision making for the Admissions, Registration, and Records office.
  • Create and manage databases, spreadsheets, queries, and electronic communication that support the operations of the department and transcript evaluation processes.
  • Create a positive relationship with visitors and ensure the interaction is welcoming, efficient, and a satisfying experience.
  • Additional duties shall include other appropriate activities as assigned by the assistant registrar, assistant dean, dean, the vice president, and/or the president.

Minimum Qualifications

Associate's degree in office administration, office systems, records management, information systems, or related field with at least three years work experience

in transcript evaluation, electronic records management, and customer service.

Preferred Qualifications :

Bachelor's degree (or higher) in office administration, office systems, records management, information systems, or related field with at least Two years' experience in transcript evaluation, electronic records management, and customer service

Supplemental Information

  • An affinity for organization, accuracy and efficiency in a fast-paced environment.
  • Excellent interpersonal skills, organizational skills, customer service skills, attention to detail, effective oral and written correspondence, and public relation skills.
  • Experience with college student information systems, specifically Colleague, Banner or Datatel.

Normal Working Hours:

A minimum of a 40-hour workweek as determined with the supervisor to allow the employee to fulfill the assigned duties and responsibilities, including occasional evening and weekend hours. Summer schedules may vary to enable four-day or four-day and four-and-one-half-day workweeks.
