Description of Position
The Recruitment Specialist serves as a primary representative of Yavapai College and is responsible for promoting the College's academic programs, services, and opportunities to prospective students, families, schools, and community organizations. The Recruitment Specialist develops and maintains relationships with high schools, community partners, and other external stakeholders while guiding prospective students through the enrollment process. This position supports enrollment growth by recruiting new students, assisting with outreach initiatives, conducting presentations and campus tours, participating in community events, and utilizing customer relationship management (CRM) systems to engage prospective students throughout the recruitment funnel.
Essential Duties & Responsibilities
Student Recruitment and Outreach:
- Represent Yavapai College at high schools, college fairs, career fairs, community events, and other recruitment activities throughout the district and
- service area.
- Conduct presentations to prospective students, parents, school counselors, and community organizations regarding educational opportunities at
- Yavapai College.
- Build and maintain relationships with high school counselors, administrators, teachers, workforce partners, and community organizations.
- Promote certificates, associate degrees, bachelor's degrees, workforce training, dual enrollment, and continuing education opportunities.
- Assist prospective students and families in understanding admission requirements, academic programs, financial aid resources, and enrollment
- processes.
- Participate in special events, including open houses, campus visit days, career exploration events, and registration workshops.
Student Engagement and Enrollment Support:
- Respond to inquiries from prospective students through phone calls, email, text messaging, virtual meetings, and in-person appointments.
- Provide personalized guidance to students throughout the recruitment and enrollment process.
- Follow established communication plans to nurture prospective students from inquiry through enrollment.
- Identify and address barriers that may prevent students from enrolling.
- Collaborate with Admissions, Advising, Financial Aid, Student Development, and Academic Divisions to support student success.
Campus Tours and Events:
- Coordinate and conduct individual and group campus tours.
- Assist with planning, organizing, and executing recruitment events and outreach activities.
- Prepare event materials, displays, promotional items, and presentations.
- Represent the College professionally at community functions and public events.
Data Management and Reporting:
- Utilize Salesforce, Element451, and other College systems to track recruitment activities and student interactions.
- Maintain accurate records of contacts, outreach efforts, event participation, and recruitment outcomes.
- Generate reports and analyze recruitment data to support enrollment goals.
- Assist with lead generation, prospect management, and conversion initiatives.
Collaboration and Communication:
- Work collaboratively with faculty, staff, and administrators to promote academic programs and student opportunities.
- Participate in departmental meetings, training programs, and professional development activities.
- Provide feedback regarding recruitment trends, student interests, and market opportunities.
- Support department initiatives that contribute to enrollment growth and student engagement.
Minimum Expectations & Requirements
Education
- Bachelors degree in Higher Education, Education, Communications, Marketing, Business Administration, Public Relations, Human Resources, or a related field.
Experience
- One to three years of experience in student recruitment, admissions, enrollment management, sales, marketing, community outreach, or a related field
- Experience presenting to large and small groups, including students, parents, educators, community organizations, and business partners.
- Experience utilizing Customer Relationship Management (CRM) systems, such as Salesforce, Element451, or similar platforms, to manage recruitment communications and prospect pipelines.
Required Skills/Knowledge
- Strong computer skills, including proficiency with Microsoft Office Suite (Excel, Word, PowerPoint), Canvas, CRM systems, and virtual communication
- platforms.
- Ability to learn and effectively use new software applications, technology tools, and data management systems.
- Strong organizational skills with the ability to manage multiple priorities, deadlines, and projects simultaneously.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to work independently while contributing to a collaborative team environment.
- Experience working with diverse student populations, including first-generation students, adult learners, dual enrollment students, military-affiliated
- students, and transfer students.
- Ability to establish and maintain effective working relationships with diverse populations.
- Knowledge of Arizona higher education systems, financial aid processes, and transfer pathways preferred.
- Knowledge of student recruitment, admissions, enrollment management, or customer service practices.
- Commitment to providing exceptional customer service.
Preferred Skills & Abilities
Education
- Masters degree in higher education or related field.
Experience
- Experience in higher education or community college outreach.
- Experience in creating and conducting presentations and public speaking.
- Bilingual communication skills (English/Spanish) preferred.
- Experience working in higher education, admissions, recruitment, or enrollment management.
